Executive Assistant to Owner / Director of Operations
Location: Big Time Restaurant Group Office- 400 Clematis Street WPB.
Reports To: Owner, HR or Director of Operations

About the Role
Rocco’s Tacos & Tequila Bar is looking for an experienced, organized, and dynamic Executive Assistant to support our Owner and Director of Operations.
This position plays a key role in keeping our fast-paced, multi-unit restaurant group running smoothly. The Executive Assistant will provide high-level administrative and operational support, acting as a key link between ownership, operations leadership, restaurant management teams, vendors, and external partners.

Key Responsibilities
Administrative Support
- Manage executive calendars, meetings, and travel arrangements
- Prepare reports, presentations, and correspondence for internal and external use
- Draft and proofread communications to leadership and restaurant teams
- Handle confidential business and personnel information with discretion
- Organize meeting agendas, take notes, and follow up on action items
- Process expense reports, invoices, and reimbursements
Operational Coordination
- Support execution of brand initiatives, compliance programs, and promotions
- Assist with multi-location scheduling, labor/sales reporting, and audits
- Track and follow up on projects and deadlines
- Maintain up-to-date records of company policies, contracts, and vendor information
- Compile weekly restaurant performance summaries (labor, sales, guest feedback)
- Communicate between ownership, GMs, chefs, and department heads to ensure alignment
Vendor & Administrative Management
- Assist with vendor onboarding and compliance documentation (COIs, W-9s, hold harmless forms)
- Coordinate with service providers, contractors, and business partners
- Manage purchasing requests, repairs, and facility service schedules
- Support HR and Accounting with employee paperwork, payroll communication, and invoice tracking
Communications & Event Support
- Draft internal memos, announcements, and presentations
- Help plan company events, leadership meetings, and training sessions
- Support marketing or PR efforts such as photo shoots, promotions, or media requests
- Maintain company email lists, contact directories, and shared digital files
Personal & Executive Support
- Manage personal travel and scheduling for the Owner as needed
- Coordinate household or vendor-related needs tied to executive operations
- Anticipate the needs of leadership to keep day-to-day operations running efficiently
Qualifications
- Education: Bachelor’s degree preferred (Hospitality, Business Administration, or related field)
- Experience: 3–5 years supporting senior executives — ideally in hospitality, restaurant, or multi-unit retail
- Skills:
- Proficiency in Microsoft Office and Google Workspace
- Excellent written and verbal communication skills
- Exceptional organization and attention to detail
- Strong discretion with confidential information
- Ability to work effectively in a fast-paced, high-energy environment
- Professional demeanor and excellent interpersonal skills

Examples of Weekly Tasks
- Schedule and confirm leadership meetings and conference calls
- Prepare and distribute weekly operations reports (sales, comps, labor, guest feedback)
- Track deadlines for new openings, repairs, and marketing events
- Maintain vendor contracts and COIs
- Assist with onboarding new managers and corporate hires
- Update company org charts and contact directories
- Coordinate restaurant visits and travel for the Owner and Director of Operations
- Take and distribute leadership meeting notes
- Communicate updates and initiatives to restaurant managers
- Track contests, holiday events, and promotional timelines
- Prepare presentation decks for ownership or investor meetings
- Follow up on open vendor and repair requests
- Coordinate deliveries or pickups for special events and executive projects
- Support personal scheduling and travel needs for the Owner
