Job Overview
We are seeking a highly organized and detail-oriented Office Administrator to join a prestigious Glass company. The ideal candidate will be responsible for managing day-to-day office operations, providing exceptional customer service, and supporting administrative tasks to ensure the smooth functioning of our office environment. This role requires proficiency in various office management tools and excellent communication skills.
Duties
- Manage front desk operations, including greeting visitors and handling inquiries.
- Operate multi-line phone systems to direct calls and provide customer support.
- Maintain organized filing systems and perform data entry tasks accurately.
- Utilize QuickBooks for bookkeeping and financial record management.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Provide administrative support including proofreading documents, typing correspondence, and managing office supplies.
- Ensure a clean and professional office environment through effective organizational skills.
- Support the team with clerical tasks as needed, leveraging Microsoft Office and Google Workspace tools.
- Foster positive relationships with clients through exceptional customer service and phone etiquette.
Experience
- Previous experience in similar environment such as Glass companies or
- Proven experience in an office administration role or similar position is preferred.
- Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel, PowerPoint), and Google Workspace is essential.
- Bilingual candidates are encouraged to apply as this will enhance communication with diverse clientele. (English and Spanish is a PLUS)
- Strong organizational skills with the ability to manage multiple tasks efficiently while maintaining attention to detail.
- Excellent typing skills along with proficiency in data entry and filing systems.
- Previous experience in customer service or support roles is highly valued.
- Experience as a personal assistant or in calendar management will be considered an asset.
