The Administrative Assistant plays a critical role in supporting the overall mission and operations of the BSAC. This individual will serve as the organizational gatekeeper, working closely with the Executive Director to provide high-level administrative support. The ideal candidate is organized, proactive, and passionate about public safety and community service.
In the absence of the Executive Director, the Administrative Assistant may represent the organization at meetings and events.
Compensation:
$50,000 - $70,000
Responsibilities:
- Purchase office equipment when appropriate
- Coordinate any company parties, necessary appointments, or travel
- Work to create marketing opportunities and plan events for our customer base in the community to improve company reputation and visibility
- Manage all paperwork in the office and create a process for team members to follow to ensure efficiency
- Answer phone calls and emails to act as a liaison between clients and staff members to improve customer retention and referral rates
- Provide comprehensive support to the Executive Director and Board of Directors
- Manage and maintain office operations with professionalism and efficiency
- Handle incoming calls and direct inquiries appropriately
- Maintain confidential records and filing systems
- Prepare reports, presentations, and correspondence as needed
- Coordinate and attend internal and external meetings, including taking and distributing meeting minutes
- Maintain and update donor databases and personal/business files
- Process incoming donations and generate acknowledgment letters
- Manage office supplies, vendor relationships, and inventory
- Assist with USPS, FedEx, and UPS mailings
- Manage multiple projects with strong attention to detail
- Contact members, donors, and prospects for fundraising efforts
- Confidently solicit donations via telephone
Event and Program Support
- Collaborate with all Broward County first responder departments, including the Broward Sheriff’s Office, Police, and Fire Rescue
- Research venues and resources for organizational events
- Coordinate logistics for meetings, programs, and charity events
- Book venues, negotiate contracts, and arrange catering
- Order supplies and audiovisual equipment
- Oversee event setup, execution, and breakdown
- Serve as liaison with event vendors and contractors
- Prepare event materials and post-event reports
- Assist in event budgeting, check requests, and expense tracking
- Ensure all events are closed out properly
- This position requires flexibility in working hours, with occasional evening and weekend availability as needed
Qualifications:
- High school diploma or GED required
- Customer service, bookkeeping, or administrative experience is preferred
- Proficient in basic computer software and can quickly learn to use new programs
- Enjoys talking with customers and can communicate through verbal and written channels
- History of being deadline-driven and extremely organized
- Proficient in Microsoft Office (Word, Excel, PowerPoint), Canva, and Google Suite
- Highly organized, detail-oriented, and capable of managing multiple priorities
- Strong written and verbal communication skills
- Outgoing, personable, and mission-driven
- Demonstrate compassion, empathy, and professionalism
- Able to work occasional evenings or weekends for programs and events
- Bilingual capabilities are a plus
- Background in community service or experience with first responder agencies is a plus
