What You’ll Do
As the Program Assistant for the Institute of Success & Personal Achievement (ISPA) residential treatment program, you will provide essential administrative, billing, and operational support to ensure smooth program functioning. You will help maintain accurate records, assist with compliance requirements, and support staff in delivering high-quality care to adults living with serious mental illness and/or substance use issues. Reporting to the Director of Behavioral Health, your responsibilities include:
- Program & Client Support: Greet visitors and clients in a professional and hospitable manner, ensuring they are directed appropriately.
- Administrative Support: Attend weekly staff meetings, take minutes, and communicate updates to ISPA staff.
- Data & Reporting: Input and manage data in the management information system; prepare and submit monthly and daily reports, including census and bed rosters.
- Billing & Compliance: Support Medicaid billing and assist in audit preparation activities to ensure accuracy and compliance.
- Recordkeeping: Maintain secure client files and update tracking spreadsheets for quality assurance activities.
- Court Coordination: Maintain contact with court liaisons to ensure timely completion of reports and scheduled appearances.
- Team Collaboration: Work closely with program staff and multidisciplinary teams to support overall program effectiveness.
- Other Duties as Assigned.
What You’ll Bring
• Bachelor’s degree in human services or related field preferred; an associate degree with 3+ years of relevant experience will be considered.
• 3+ years of experience in a similar role, preferably in behavioral health, human services, or nonprofit settings.
• Fluency in English and Spanish required; additional languages (e.g., Creole) a plus.
• Proficiency in Microsoft Office and data management software; experience with Medicaid billing preferred.
• Strong organizational, interpersonal, and communication skills, with the ability to manage multiple tasks and meet deadlines.
• Culturally sensitive and committed to serving vulnerable populations.
• Ability to work independently, as well as collaboratively within a team.
• Valid driver’s license and dependable transportation.
• Successful completion of Level II background screening, toxicology test, and OIG clearance.
