Job Title: Front Office Coordinator

About the Role
Stouffer Legal is seeking a warm, organized, and detail-oriented Front Office Coordinator to be the welcoming face of our Naples office. As the first point of contact for our clients, you will help shape their experience, from greeting visitors and answering calls to ensuring attorneys have meeting materials ready.
In addition to front office responsibilities, this role will facilitate one weekly evening educational workshop. This includes preparing the event space, welcoming attendees, assisting the presenting attorney, and ensuring the workshop runs smoothly.

Key Responsibilities & Procedures
Office Management
• Open and close the office each day following established procedures
• Turn lights on/off
• Restock candy and supplies
• Ensure restrooms are clean
• Wash dishes and take out trash
• Adjust air temperature in each room
• Send daily KPI updates
• Order and manage office supplies
Client Interaction & Support
• Greet and seat clients professionally; offer coffee, tea, or water
• Notify attorneys of client arrivals
• Schedule next appointments
• Take payments
• Clean and reset conference rooms
Attorney Meeting Preparation
• Prepare materials for attorney meetings
• Print packets
• Assemble folders and binders
• Handle bulk printing tasks
Phone Management & Scheduling
• Handle inbound and outbound calls
• Answer and transfer calls professionally
• Create and manage follow-up tickets
• Schedule meetings
• Confirm meetings the week prior
• Escalate client issues to the Team Lead as needed
Workshop Facilitation (Weekly Evening Event)
• Prepare workshop space and materials
• Welcome attendees and provide refreshments
• Assist the presenting attorney with logistics
• Ensure a smooth client experience during the event
Tools & Systems You'll Use
Outlook, Microsoft Teams, Acuity, Legal System, Freshdesk, Stax, RingCentral, Excel
Schedule
• Monday - Friday, 8:00 AM - 5:30 PM
• Plus one evening per week for the educational workshop
Compensation & Benefits
• Salary range $48,000 - $56,000 based on experience
• Performance-based bonus structure
• Pay day twice a month on the 7th and 21st
• Eligible for benefits upon start date
