Job Summary
Speedy Rooter Inc. is a family-owned and operated plumbing service company seeking a reliable, organized, and detail-driven Project Coordinator / Dispatcher. This role is the central hub of daily operations—coordinating technicians, managing schedules, supporting sales, and overseeing large service contracts with major departments. The position ensures projects, contracts, and daily service calls are executed efficiently from start to finish while maintaining clear communication with customers, field teams, and contract stakeholders.
Responsibilities
Dispatching & Scheduling
- Dispatch technicians and manage daily schedules using company scheduling software
- Coordinate job assignments based on priority, location, and technician availability
- Handle incoming calls and prioritize urgent service requests during business hours
Project Coordination & Operations
- Coordinate project timelines, job requirements, and materials
- Order parts and materials as needed and coordinate deliveries
- Track purchases, returns, and expenses using Excel and internal systems
- Follow up on open jobs to ensure completion and customer satisfaction
Sales, Contracts & Revenue Support
- Assist with tracking sales, estimates, and job approvals
- Prepare and send proposals and estimates
- Follow up on open estimates to help convert opportunities into booked work
- Manage and coordinate large service contracts with municipalities, property management groups, or other major departments
- Ensure contract requirements, response times, documentation, and billing are followed accurately
- Serve as a primary point of contact for contract-related scheduling and service coordination
Customer & Contractor Communication
- Communicate with customers, contract administrators, and vendors regarding scheduling, estimates, updates, and job status
- Maintain a professional, service- and sales-minded approach in all communications
Administrative & Support
- Maintain organized records including job notes, work orders, contract documentation, sales records, and invoices
- Track tools and equipment assigned to technicians
- Assist with compliance, maintenance schedules, and internal workflows
- Support the service manager and field teams with daily operational needs
Qualifications
- Experience in dispatching, project coordination, customer service, sales support, or contract administration

- Plumbing, HVAC, or electrical industry experience is a plus
- Strong communication, multitasking, and organizational skills
- Comfortable working with pricing, estimates, contracts, and service agreements
- Ability to manage multiple priorities in a fast-paced environment
- Proficient in office software, Excel, and scheduling tools
- Reliable, detail-oriented, and customer-focused
- Bilingual required: English & Spanish
- Willingness to assist with pre-scheduled Saturday coverage when requested in advance by a coworker
