Office Assistant:
- Provide general support to the Head of the Department including the preparation of Business letters, memos, correspondence via fax, phone, email, etc.
- Computer proficient with experience in Microsoft Office: Word, Excel, Outlook, etc.
- Proficient writing and organization skills.
- Must be able to handle multiple tasks while working under pressure to meet simultaneous deadlines.
- Ability to interact professionally with all levels of management, co-workers, subcontractors, customers, vendors, etc.
- Administer distribution of plans & specifications to the estimator, provide date for preparation of the project, prepare & organize the customer filing system and maintain job schedules & calendars.
- Process contracts, change orders, invoices for payments, PO's verifying contracts, collecting A/R and report any discrepancy to the supervisor.
- keep track of Certificate of insurance in customer's files.
- Communicate with clients billing contacts to ensure that receivables are collected.
- Assist with verification and timely processing of subcontractor's invoices, payments and checking documents on file.
Pay rate based on qualifier skills.
