SEA, Ltd. is a nationally recognized forensic engineering firm, seeking an Administrative Assistant to join our growing Fort Lauderdale team! This is a full time, in-office opportunity (in our state-of-the-art new facility) with an exceptional team, supporting several technical experts. Essential Job Functions & Responsibilities:

  • Delivers comprehensive administrative support to engineering teams by efficiently coordinating schedules and maintaining oversight of both incoming and active projects
  • Proofreads and edits technical and professional documents for accuracy, clarity, and consistency, while composing well-structured correspondence tailored to various recipients
  • Maintains and coordinates engineer's schedules of site inspections, depositions and changes to trial schedules
  • Ensures proper documentation by systematically uploading and indexing images and documents into secure digital files/database
  • Conducts detailed reviews of sensitive documentation, potentially containing photos and data related to catastrophic events
  • Conducts both verbal and written communications with clients ensuring clear, professional, and timely interactions
  • Demonstrates quick adaptability and a strong aptitude for learning and effectively utilizing new software and technology
  • Develops and maintains detailed spreadsheets to track and analyze data ensures precise data entry and utilizes advanced data manipulation techniques such as sorting filtering and formula application to enhance data quality and usability
  • Enters and verifies data necessary to ensure accuracy and compliance for the conflict check process
  • Serves as a backup for front desk operations, laboratory exam scheduling, meeting coordination, including managing meeting room spaces, organizing refreshments/meals for in-office meetings and assists with handling incoming and outgoing mail and packages
  • Acts as brand ambassador for S-E-A both internally and externally
  • Ability to accept and integrate constructive feedback into job performance
  • Regular and predictable physical presence in the office
  • Position Requirements:
  • Bachelor's degree preferred but commensurate experience is considered
  • Paralegal or Legal Assistant experience preferred
  • Extensive hands-on experience and advanced proficiency in Microsoft Office Suite, including Teams, Excel, Word, PowerPoint, and Outlook, with a proven track record of leveraging these tools to streamline workflows and improve productivity
  • Experience working in Intapp preferred
  • A minimum of five (5) years of professional office or law firm experience
  • Collaborate effectively with team members to deliver high-quality results
  • Communicate openly and constructively to solve problems and improve workflows
  • Support a culture of respect, inclusion, and continuous learning
  • Demonstrated ability to collaborate and work as part of a team
  • Excellent writing skills and proofreading skills
  • Strong attention to detail
  • Must have strong organizational, interpersonal, communication, time management and multi-tasking skills
