Position Overview

We are seeking an experienced Trust & Escrow Banking Accountant to join our Accounting & Finance team in our Miami office. This position is responsible for the accurate management, review, reconciliation, and reporting of all trust and escrow account activity for the firm. The ideal candidate will have prior experience in law firm accounting, a strong working knowledge of trust account compliance, and demonstrated proficiency with Aderant accounting software.

Primary Responsibilities

  • Manage, review, and reconcile all cash receipts and payments related to the firm’s trust and escrow accounts.
  • Post incoming wires and deposits from various payment processing and banking platforms in accordance with established firm procedures, financial software and client instructions.
  • Create, enter, and process outgoing wires and check payment requests for real estate closings and settlement payments within Aderant and with the Payee’s.
  • Manage the opening, maintenance, reconciliation and closing of firm bank accounts, including trust subaccounts and escrow deposit accounts.
  • Identify, coordinate with payees, and resolve stale-dated or uncashed trust and escrow checks; process stop payments and reissue checks as required.
  • Process firm-related payment requests submitted by attorneys; post corresponding general ledger transactions and ensure daily reconciliation of bank accounts with the firm’s financial system.
  • Serve as back-up support to the Cash Receipts team, including reviewing and posting daily wire, cash, or check deposits into the firm’s operating accounts; identify unapplied funds and ensure timely Identification in Aderant.
  • Proactively maintain a zero balance in unapplied payment accounts by researching and resolving discrepancies within 24–48 hours by calling and coordinating with the clients and Payees. Ask clients and payees what we can do better to prevent unidentified payments in the future.
  • Collaborate with the finance team to improve processes and maintain the highest standards of banking compliance with trust accounting Florida Bar rules.
  • Perform additional related duties as assigned.

Qualifications

  • Minimum of 3–5 years of relevant accounting experience in a law firm environment, with a focus on trust accounting and escrow account management.
  • Proficiency with Aderant Expert or Sierra accounting software.
  • Strong technical skills and proficiency in accounting software, Microsoft Office Suite, including Outlook and Excel. (Excel proficiency required)
  • Demonstrated experience working with online business banking or financial accounting management platforms.
  • Excellent organizational and analytical skills, with exceptional attention to detail and accuracy.
  • Strong verbal and written communication skills; ability to communicate professionally with attorneys/partners, clients, and law firm teams.
  • Ability to work effectively both independently and as part of a collaborative team.
  • High degree of professionalism, integrity, and accountability by always double checking work and following lean process improvement techniques.

Physical Requirements

  • This is a primarily sitting position but occasional lifting of files (up to 20 lbs.), bending, standing or climbing stairs may be required.
  • Regular in-office attendance is expected for team coordination, collaboration, better communication, process improvement, and professional development.
  • The role requires the ability to communicate clearly and effectively in person, by phone, and electronically.

Work Schedule

  • This is a full-time position with standard office hours of 9:00 a.m. to 5:30 p.m., Monday through Friday, with occasional overtime as necessary to meet deadlines.
