Job Summary

The Payroll & Compensation Specialist plays a critical role in ensuring accurate, compliant, and timely payroll and pay administration across the organization. This role owns end-to-end payroll processing, bonus payments, deductions, and retirement plan administration, serving as the final checkpoint before payroll is released.

This position partners closely with HR, Finance, and external vendors to maintain compliance across federal and state requirements (including Florida and Texas) and to continuously improve payroll and pay-related processes. Exposure to salary band administration and market analysis is considered a plus but is not a core requirement of the role.

  • Fully onsite position based in the Miami Headquarters office
  • Monday through Friday, standard business hours
  • Regular in-person collaboration with HR and Finance teams is required
  • This role is not eligible for remote or hybrid work
  • Execute end-to-end payroll processing, including regular payroll, bonuses, overtime, and special payments
  • Serve as the final payroll reviewer prior to submission, ensuring accuracy, compliance, and proper controls
  • Perform pre-payroll validation, audits, and exception handling
  • Conduct weekly payroll audits and post-payroll reconciliations
  • Review and validate final pay calculations, including overtime and state-required payouts
  • Administer and audit employee deductions and garnishments
  • Ensure compliance with federal, state, and local wage and hour regulations
  • Maintain payroll records and audit documentation in accordance with compliance requirements
  • Manage monthly benefits enrollments and changes, ensuring accurate payroll integration
  • Oversee 401(k) administration, including contributions, audits, corrections, and compliance support
  • Partner with benefits and retirement vendors to resolve discrepancies and ensure timely corrections
  • Ensure accurate payroll withholding and reporting for Florida and Texas employees
  • Administer and reconcile state unemployment taxes (Florida Reemployment Tax and Texas SUTA)
  • Apply federal tax rules for supplemental wages and bonuses, including FICA and federal withholding treatment
  • Support federal payroll reporting, including Forms 941, 940, and W-2
  • Ensure compliance with new hire reporting and multi-state payroll considerations
  • Review time and attendance data, partnering with HR to resolve discrepancies
  • Audit carrier billing and benefit invoices for accuracy
  • Support payroll-related internal and external audits
  • Collaborate with HR and Finance on payroll, compensation, and benefits initiatives
  • Identify inefficiencies and recommend process improvements to strengthen controls and accuracy
  • Provide support, as needed, for salary band administration and compensation-related data analysis
  • Perform other payroll- and HR-related duties within the scope of the position
  • 3+ years of payroll experience, preferably multi-state
  • Strong working knowledge of payroll compliance, bonuses, overtime, deductions, and garnishments
  • Experience administering benefits and 401(k) plans
  • Exposure to salary bands, pay structures, or compensation data analysis is a plus
  • High attention to detail with the ability to independently resolve discrepancies
  • Proficiency with payroll and time & attendance systems
  • Ability to handle confidential information with discretion and professionalism
