Position Summary:
Under general supervision, this role provides essential administrative and operational support to ensure the purchasing department functions efficiently and effectively.
Key Responsibilities:
The following tasks represent the typical duties associated with this role. Additional responsibilities may be assigned as needed.

Maintain a high level of attention to detail in all purchasing processes

Accurately manage and update both paper and electronic purchasing records

Procure non-inventory supplies and materials directly from approved vendors

Create and process purchase orders using Accuterm software
-
Verify vendor acknowledgments to ensure correct quantity, cost, and timely delivery
-
Communicate with vendors regarding delayed, missing, or damaged shipments
-
Prepare and submit documentation to the accounting department to support financial reconciliation and resolve invoice discrepancies

Foster strong relationships with vendors to support cost-effective and timely purchasing

Assist in evaluating vendors to ensure quality, reliability, and cost-efficiency

Perform other duties as assigned to support the purchasing team
Education & Experience:

High School Diploma or GED required
Required Skills & Qualifications:

Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

Strong organizational and time management skills

Excellent written and verbal communication skills

Strong computer and data entry skills

Critical thinking and problem-solving abilities

Ability to work both independently and collaboratively within a team environment
