highly organized, strategic and results oriented Strategic Assistant to the CEO

The Strategic Assistant to the CEO will support the CEO in all strategic, operational and organizational functions. The Strategic Assistant will act as a critical support in managing day-to-day work and facilitation of the complex concepts / processes involving cross functional teams. The role is intended to implement efficient and effective systems that allow the work of the organization to continue to grow at a high level.

The Strategic Assistant will be responsible for owning the highly detailed digital documentation of cross functional sessions including real time status of those actions. Project Management experience is critical to the success of the role. You will be expected to become an expert in the scope of work and an advocate for the organization's role in the K-12 environment. To become an expert, it is required that you are able to learn complex concepts quickly in a fast paced highly agile work environment.

This role is ideal for a systems thinker who can connect dots across departments, drive initiatives to completion and help transform organizational complexity into clarity, freeing the CEO to focus on vision, leadership, and external influence.

You must be highly organized, have skill to anticipate and take action to assure expected outcomes are on track, be highly skilled at learning new material and transferring notes to critical messaging. The successful candidate should have advanced level experience in using current technologies and platforms to increase efficiency and productivity.

The Strategic Assistant must be able to pivot as needed, be a quick learner and be able to meet new experiences with a positive mindset knowing that each one contributes to self-growth and organizational value.

This position is an in-office position located in the West Palm Beach, Florida office.
Primary Responsibilities

  • Executive Operational Support & Strategic Prioritization
  • Triage requests and demands on the CEO’s time, ensuring high-value work rises to the top.
  • Serve as a representative in meetings, with the authority to carry forward next steps.
  • Anticipate, prioritize and take action for continuous improvement and successful outcomes of organizational workouts and meetings with internal and external stakeholders
  • Act as a thought partner to the CEO, providing insight to support strategic decisions and implementations



Essential Functions

  • Prepare meeting agendas and briefings for the CEO; attend meetings to document key points preparing summary notes to the CEO for each session.
  • Track follow-up actions and provide status to CEO of results tied to strategic plans and CEO directives.
  • Maintain an active log of all current initiatives and deadlines across the CEO’s scope.
  • Identify bottlenecks or pain points in workflows and recommend systems or process improvements.
  • Provide internal insights and synthesize themes arising across departments to inform CEO decision-making.
  • Lead special projects or organizational improvement efforts as assigned by CEO.
  • Filter and manage the CEO’s schedule with a focus on strategy and high-leverage work.
  • Eliminate redundant or routine tasks from the CEO’s workflow by owning or delegating them.
  • Act as a liaison between the CEO and internal teams, ensuring alignment and momentum on all fronts.
  • Help craft internal messaging and cascade critical updates or directions as needed.
  • Develop a deep understanding of the scope of work and the way school systems work by engaging with internal staff.

Required Education and experience

  • Bachelor's Degree in related field
  • Five (5) years of progressively responsible experience in organizational management, operations, or executive support roles
  • Demonstrated success in supporting senior leadership, preferably in a dynamic or fast-paced environment
  • Strong background in project management and cross-functional coordination
  • Familiarity with strategic planning processes and follow-up to ensure alignment and execution
  • High level of comfort with technology, including collaboration platforms and productivity tools (e.g., , Microsoft Office, project management tools, and basic AI tools for task automation)
