The Warehouse Specialist responsibilities include supporting supply chain procedures, from receiving, picking, packing and coordinating deliveries to managing shipping documentation. Ultimately, this role will ensure our customers receive the correct orders on time, as well as accurate up-to-date information for both internal and external clients. While there is some manual labor involved as the orders/shipments move through the process, there is also the important administrative work that you will be responsible for as well.
For the right candidate, the goal is to have this person take on a supervisory role, leading other team members on the warehouse team and to be responsible for the overall organization and execution of the order fulfillment cycle.
Since VIKAND is team-focused, this role will work from our home office in Fort Lauderdale, Florida.

Responsibilities


Shipping and receiving of all products. This will include pharmaceuticals, disposable medical supplies and medical/durable equipment.


Receiving and stocking of product. This will include managing of expirations dates.


Plan shipments based on variables such as product availability, customer requested delivery date, transit time, etc. It will be important to consolidate all pending orders as to keep shipping cost low.


Tracking orders and follow up to ensure timely deliveries. Constant communication with port agents and other parties as necessary.


Preparing shipping documents (Bills of lading, FDA documents, commercial invoices and packing slips and address labels.)


Perform shipping tasks in shipping and receiving packages both domestically and internationally


Maintain shipping log for shipped and received items, asl well as excel and Smartsheet documents for special projects such as new builds.


Create, send, and track required FDA documents to directly support biomedical repair process on inbound equipment needing repaired. Provide copies of documents to logistics department for processing with port agents/logistic counterparts with clients


Update the ERP system with latest data, as necessary.


Liase with accounting, procurement, and client services teams with proper flow of paperwork and communication.


Responsible for requesting and uploading proof of Delivery (POD) into the system in a timely fashion.


Communicate with the Biomed team the pertinent information regarding shipping/delivery status of items on work orders, including tracking information, costs and dates. This will include managing the TMS software, our asset management system, with the correct and up-to-date data such as tracking number, shipping updates and other comments as necessary
Participate in client calls as needed


Knowledge of itineraries and planning schedules


Updating Carnival website with shipping status.


Be able to work autonomously and make decisions that meet the strategic needs of the project.


Perform other tasks as needed.



Experience and Knowledge Required


Experience within the maritime industry is strongly desired but not required. 1-2-years experience in working with cruise lines, port agents, and country customs and duty agents for shipping and landing packages is preferred.


Work experience as a Logistics Coordinator, Warehouse Administrator or similar role


Knowledge of international shipping and customs processes, LGA, incoterms and HTS codes and FDA documentation is required.
Excellent organizational and time-management skills with attention to detail

Knowledge of pharmaceuticals and shipping requirements for product is a strongly preferred


Strong written and verbal communication skills


Proficiency & experience working with Microsoft Windows, Word, Excel, OneDrive, Teams and other various platforms. Knowledge of Dynamics Business Central ERP is a plus


Ability to pivot and prioritize in a fast-paced environment.
