Responsibilities
Overview:
IES Residential (Bayonet, Plumbing, Heating and Air Conditioning) is looking for a proactive and detail-oriented Administrative Assistant to support daily operations and maintain a welcoming and efficient office environment. This individual will be the first point of contact for visitors and callers and will provide critical support to ensure smooth communication, scheduling, and administrative workflow.
Key Responsibilities:
· Front Desk Support: Answer and route multi-line phone calls professionally, greet visitors and clients, and ensure a welcoming front office environment.
· Clerical & Administrative Duties: Handle incoming and outgoing mail and packages, maintain filing systems, manage office supplies, and process routine data entry with accuracy.
· Communication & Scheduling: Maintain internal calendars, schedule appointments and meetings, and take accurate messages or meeting notes for supervisors or project managers.
· Document Handling: Prepare basic documents using Microsoft Word and Excel, including reports, letters, spreadsheets, and templates. Maintain electronic records and assist with scanning and filing.
· Team Support: Provide administrative support to field and office personnel as needed, including coordinating travel, ordering materials, and communicating with vendors or subcontractors.
· Office Coordination: Ensure common areas are organized and stocked, communicate maintenance needs, and help organize internal events or meetings.
Qualifications
Preferred Qualifications:

Minimum 1 year of administrative or receptionist experience, ideally in a fast-paced setting

Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

Exceptional verbal and written communication skills

Strong organizational skills and attention to detail

Ability to manage multiple priorities and meet deadlines
