Professional Services Coordinator – Software Implementations (Payments / ERP / AP Automation)

Position Summary

We are seeking a detail-oriented and proactive Professional Services Coordinator to support our client-facing implementation and onboarding teams. This role plays a critical part in ensuring client readiness, maintaining go-live discipline, and driving internal alignment across Professional Services.

The ideal candidate is organized, customer-centric, and comfortable balancing client deliverables with internal coordination. You will help ensure that customers have a smooth path to launch while also partnering with leadership to streamline project operations.

Responsibilities

  • Conduct and document client health checks at key implementation milestones
  • Manage and validate go-live readiness using established checklists and gating criteria
  • Review, organize, and maintain product documentation and onboarding materials
  • Ensure completion and accuracy of go-live checklists, identifying and escalating any blockers
  • Collaborate with project managers and onboarding teams to track progress toward go-live
  • Identify risks to successful launch and proactively surface issues to internal stakeholders
  • Train team members on Go Live processes
  • Partner with leadership on project prioritization and task scheduling
  • Track and report on resource utilization, client milestones, and onboarding timelines
  • Support project organization through task tracking, internal updates, and meeting coordination
  • Participate in select client kickoff meetings to ensure smooth handoff and alignment
  • Assist in generating weekly reports and dashboards on implementation progress and team bandwidth

Qualifications

  • 2+ years in a professional services, implementation, or customer-facing operations role
  • Strong organizational and project coordination skills
  • Excellent verbal and written communication abilities
  • Proficiency with project tools (e.g., Jira, Asana, Monday.com, Smartsheet, or similar)
  • Experience with client onboarding, checklists, or SaaS go-live processes preferred
  • Self-starter with high attention to detail and ability to manage multiple tasks across teams

  • Familiarity with SaaS or ERP implementation cycles
  • Experience collaborating across customer success, product, and engineering teams
  • Ability to identify patterns and propose process improvements
  • Comfortable supporting internal reporting and documentation standards
