Overview
The individual in this role will be expected to coordinate effectively with the client and investments teams on an ongoing basis. This position requires critical skills such as initiative, collaboration, problem solving.
The role is ideal for an experienced bookkeeper or accounting professional who wants to work in a boutique firm with a clear focus on reconciliation, bookkeeping, and reporting. Duties
1. RECONCILIATION AND REPORTING (70-80%)
i. Ownership of all reconciliation and bookkeeping procedures, including:
- Monthly bank account reconciliation across multiple custodians
- Recording and reconciling cash flows
- Opening/closing accounts and ensuring records are properly updated
ii. Database management:
- Maintain accuracy and integrity of data in our reporting system (Addepar)
- Download, organize, and file all monthly account statements in a timely manner
- Follow established naming and filing conventions to keep records organized
iii. Coordination:
- Communicate with custodian banks to obtain missing data or resolve discrepancies
- Work with internal team members to ensure accounts are fully reconciled before reporting deadlines
iv. Report review:
- Check draft and final client reports to confirm balances match reconciliations
- Flag missing data or inconsistencies and coordinate corrections
v. Process management:
- Follow standardized procedures and quality controls to minimize errors
- Recommend small process improvements that make reconciliation more efficient
vi. Tax & Annual Reporting:
- Assist in the preparation of annual investment summaries for tax reporting
- Coordinate onshore and offshore investment tax reporting (e.g., FBAR & BVI annual reporting, FATCA/CRS reporting)
- Ensure timely distribution of consolidated investment tax reports to clients and advisors
- Track and follow up on any missing tax documentation or delayed custodian reporting
2. PROJECTS (TBD but expect these to consume 20-30% of time)
I. Work with other team members on ongoing projects and process improvements. These would be around: private equity (PE) investments performance, existing internal portfolio performance and portfolio rebalancing tools, such as:
i. Create a complementary / standalone dedicated report of historical returns and actual / projected cashflows for a ($100m+) complex portfolio of holdings across multiple jurisdictions, sectors and asset classes
ii. Interact with external managers (20+) and other stakeholders (4-6) directly involved in the investment management process
iii. Set out a periodic (and timely) delivery of holdings information to build (since inception) a return history and project expected cashflows
iv. Reconcile cashflows / activity across the entire ownership structure (i.e. from the investment to the ultimate beneficial owner) with a well-established audit trail.
Skills & qualifications required:
- Bachelor’s degree in accounting or business
- 3+ years’ experience in of bookkeeping or accounting experience, ideally in a role with heavy reconciliation work
- Strong bookkeeping, reconciliation, and data entry skills
- Proficiency with Microsoft Office Suite, especially Excel (comfortable with formulas, filters, and sorting data)
- Attention to detail and a careful, methodical approach to completing tasks
- Reliable in meeting deadlines and maintaining organized, accurate records
- Ability to work independently with minimal supervision (when required) while staying motivated
- Strong organizational skills and ability to manage multiple accounts and statements
- Solid work ethic and commitment to getting things done correctly and on time
- Willingness to follow structured and stablished processes
- Good written and verbal communication skills for internal coordination
- Comfortable interacting with banks and custodians when needed
- Language: English required (Spanish helpful but not required)
