Position Overview
We are a professional firm based in Key Biscayne providing Accounting, Bookkeeping, Real Estate, and Tax services. We are seeking a Bilingual Tax Preparation Assistant (Junior) to support our tax department with document collection, tax return preparation support, workflow management, tax software operations, and client compliance tasks.
This is a 100% on-site position in Miami. Remote candidates will not be considered.
Key Responsibilities
Tax Preparation & Documentation

Request, receive, organize, and track client tax documentation (W-2s, 1099s, bank statements, etc.)

Enter and verify tax data for individual and business tax returns

Support preparation of 1040, 1120, 1120S, and 1065 returns under supervision

Maintain accurate digital files and ensure documentation completeness and readiness for review
Tax Software & Workflow

Work directly within tax preparation software (Drake preferred; other tax software accepted)

Manage workflows, tasks, deadlines, and statuses using TaxDome or similar workflow software

Set up client organizers, document requests, internal checklists, and status tracking to ensure timely completion
IRS & Compliance Support (Under Supervision)

Assist with responding to IRS notices and client letters (organization, drafting, and follow-up)

Contact the IRS when needed to request information or clarify items, document outcomes, and escalate as required

Track deadlines and maintain a clear audit trail of communications and supporting documents
Payroll & Sales Tax Support

Assist with payroll processing for clients (data collection, entries, reviews, and coordination)

Support preparation and filing of sales tax returns (monthly/quarterly as applicable), including reconciliation of sales reports, documentation, and confirmation of submissions

Maintain trackers for payroll and sales tax deadlines to ensure on-time compliance
Client Communication

Communicate professionally with clients via email and phone in English and Spanish to request missing items and provide updates

Follow established internal processes and deadlines, especially during peak tax season
Required Qualifications

Fully bilingual in English and Spanish (spoken and written)

Available to work on-site in Key Biscayne, Miami, Monday–Friday, 10:00 AM–4:00 PM

Education or formal training in Accounting/Taxation, or completion of a Tax Preparation course

Experience using tax preparation software (Drake preferred; ProSeries, UltraTax, ProConnect, TaxSlayer, or similar accepted)

Experience or strong familiarity with workflow/task management software (TaxDome preferred)

Strong attention to detail, organization, follow-up, and confidentiality mindset
Preferred (Not Required)

Experience using TaxDome (workflow setup, pipelines, organizers)

Prior experience in a tax office, accounting firm, or payroll/sales tax compliance environment
