Full Time & Part Time Opportunities

MUST BE ABLE TO COMMUTE TO FORT LAUDERDALE, THIS POSITION IS NOT OFFERED REMOTE.

We are looking for an administrative assistant to join our team in our Fort Lauderdale Office!

The Administrative Assistant provides essential day-to-day support to keep the office running smoothly and efficiently. This role handles a variety of administrative tasks, supports management and field teams, helps maintain organization, and serves as a reliable resource for clients, vendors, and staff. You will proactively assist team members as needed and must be able to prioritize and manage multiple tasks simultaneously.

Key Responsibilities

Office Tasks

  • Make phone calls, manage emails, and handle general inquiries.
  • Assist other office team members and help where needed.
  • Help make weekly reports and prep them for team member review.
  • Update and organize tasks/ daily logs
  • Scheduling and calendar entries.

Scheduling & Coordination

  • Manage calendars, appointments, and meetings
  • Schedule staff, subcontractors, and vendors as needed
  • Coordinate job schedules with field teams and management/ create daily agendas
  • Track deadlines and follow up on outstanding tasks

Bookkeeping & Financial Support

  • Perform basic bookkeeping tasks
  • Enter and track invoices, bills, and payments
  • Reconcile statements and track expenses
  • Prepare financial reports for management as needed

Administrative Support

  • Prepare documents, contracts, and reports
  • Support management with special projects
  • Emails & team communication are extremely important to stay ontop of tasks/ follow ups, etc.

Communication & Customer Service

  • Provide professional and friendly customer service
  • Communicate clearly with clients, staff, and vendors
  • Handle issues calmly and efficiently

Qualifications

  • Proven experience as an Office Manager, Administrative Assistant, or similar role
  • Strong organizational and multitasking skills
  • Experience with bookkeeping or accounting software preferred
  • Excellent communication skills (written and verbal)
  • Proficient in Microsoft Office (word, outlook & excel) or similar tools
  • Ability to work independently and manage priorities
  • Reliable, trustworthy, and detail-oriented

Preferred Skills

  • Construction or property management industry experience a plus
  • Knowledge of payroll systems and invoicing
  • Ability to problem-solve and work under pressure

Work Environment

  • Office-based position
  • Standard business hours with occasional flexibility as needed - We are open 7am-5pm - we are flexible with start & end times but must work a regular 8 hour shift.
