We are seeking an organized, reliable, and detail-oriented Office Administrator to be the operational heart of our office. This position is vital to maintaining a smooth workflow, supporting our financial advisors, and ensuring a positive experience for every client. Key Responsibilities

  • Front Desk Management: Serve as the first point of contact, professionally answering phones, greeting clients, and managing the front desk workflow.

  • Advisor Support: Provide comprehensive administrative support to financial advisors and staff, allowing them to focus on client strategy.

  • Scheduling and Communication: Efficiently manage all office scheduling, appointments, and advisor calendars. Handle professional office correspondence (email and mail).

  • Document Management: Maintain meticulous organization of client files and highly confidential documents, ensuring compliance with firm standards.

  • Data and Reporting: Accurately perform data entry tasks and assist in the preparation of basic reports and presentations.

  • Financial Administration: Assist with basic billing procedures, processing payments, and tracking office expenses.

  • Office Operations: Manage office supply inventory, coordinate maintenance requests, and ensure the entire workspace is consistently neat and professional.

Required Qualifications

  • Experience: A minimum of 2+ years of experience in office administration, clerical, or customer service roles. Experience in a financial, insurance, or professional services office is highly preferred.

  • Technical Proficiency: Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook) and ability to quickly learn industry-specific software.

  • Professionalism: Exceptional attention to detail, reliability, and the ability to maintain the confidentiality of sensitive client information.

  • Personal Skills: Excellent verbal and written communication skills, strong organizational abilities, and a self-starter mindset.

  • Background: Must be able to successfully pass required background and credit checks. A good personal credit history is required due to the handling of financial documents.
