Position Title: Buying Manager

About Hospitality Purveyors International

Hospitality Purveyors International (HPI) is the exclusive design and procurement arm for all Sandals and Beaches Resorts International properties which are wholly owned and managed resorts.

About the Position

The Buying Manager oversees high-value, complex purchasing activities within the hospitality sector, focusing on resort projects. This role combines strategic procurement expertise and team leadership to ensure purchasing aligns with company goals, customer requirements, and brand standards. The Buying Manager is responsible for optimizing procurement processes, mentoring a team of buyers, and ensuring operational excellence through performance monitoring and continuous improvement initiatives.

Key Responsibilities

Strategic Procurement

· Lead the buying team for large-scale resort projects involving FF&E, General Contracting (GC), and Engineering.

· Align with strategic sourcing initiatives to optimize costs, supplier performance, and project outcomes.

· Negotiate large-scale contracts and terms with key suppliers for projects under $1 million.

· Stay informed on industry trends and innovations to maintain a competitive edge in procurement practices.

· Ensure proficient use of Microsoft Office, Oracle, and other web platforms for procurement management.

Team Leadership, Mentorship, and Performance Monitoring

· Mentor and guide Buyers in procurement best practices and compliance with company standards.

· Lead departmental processes to ensure procurement strategies and directives are executed effectively.

· Foster a collaborative and professional work environment that encourages teamwork, accountability, and continuous improvement.

· Monitor actiTime reports to track Buyers’ task completion rates against targets and adjust workflows to optimize performance.

· Set clear performance goals for Buyers, addressing gaps in efficiency and productivity through coaching and development plans.

Customer and Supplier Relations

· Manage relationships with suppliers, manufacturers, and contractors to meet project timelines, quality, and budget requirements.

· Facilitate review meetings, oversee final documentation, and lead budgetary reviews to ensure project alignment.

· Ensure the expeditor team efficiently manages supplier invoice auditing and payables to prevent discrepancies and delays.

· Resolve supplier and contractor issues, ensuring consistent alignment with brand standards and customer expectations.

Reporting, Analysis, and Continuous Improvement

· Analyze procurement performance through dashboards and reports.

· Implement continuous improvement initiatives to enhance procurement efficiency and reduce PO cycle times.

· Provide regular updates to senior management on procurement activities, challenges, and key metrics.

· Oversee the accuracy and timeliness of procurement documentation and reporting for internal and external stakeholders.

Cross-Functional Collaboration & Budget Management

· Collaborate with senior management on procurement strategies, budgeting, and forecasting for resort projects.

· Maintain regular communication with project teams, suppliers, and customers to ensure alignment on objectives, schedules, and deliverables.

· Support owner/customer relationships and ensure compliance with hospitality, procurement, and brand standards.

· Develop, manage, and track procurement budgets to ensure alignment with project goals and financial targets.

KPIs

· actiTime Task Completion Rate: Achieve 100% on-time completion of assigned tasks by Buyers.

· Productivity: Ensure Buyers meet or exceed weekly and monthly performance targets.

· Procurement Cycle Time: manage the team to ensure PO timeliness by overseeing order pickup (conduct 2-way match), received and shipped in established target timeframe.

Qualifications

· Bachelor’s degree in Business, Supply Chain, or a related field preferred.

· 5–10+ years of experience in procurement and project management within the hospitality industry.

  • Strong leadership, negotiation, and communication skills.

· Proven ability to manage complex projects and high-value contracts.

· Excellent analytical, decision-making, and time management skills.

· Proficiency in Microsoft Office, Oracle, and actiTime or similar task management tools.
