ICG Group is looking for a high-energy Administrative Assistant with a strong accounting background to support our team and help keep our operations running smoothly. This is an in-office role based in Boca Raton, FL.
We want someone who is smart, proactive, detail-oriented, and loves taking ownership of tasks. If you’re great with numbers, Excel, financial accuracy, and enjoy coordinating schedules, vendors, or projects — this could be the perfect opportunity for you. Strong accounting skills and experience working with invoices, A/P, A/R and financial tracking are highly preferred. Training provided!
What You’ll Do (Key Responsibilities)
Administrative & Office Support
• Executive and office administrative support, scheduling, and general coordination
• Prepare professional documents, reports, and internal communications
• Maintain organized digital/hard files, HR documentation, and internal records
Tech Coordination & Project Support
• Track job status, update QB, and ensure timely client communication
• Support small-scale project logistics (deliveries, asset tracking, equipment scheduling)
Finance, Accounting & Invoicing
• Assist with generating, reviewing, and sending invoices (QuickBooks and similar platforms e.g., Monday.com)
• Track purchase orders, vendor bills, reimbursements, and ensure client billing accuracy
• Support expense management, financial data entry, Accounts Payable, Accounts Receivable.
• Maintain spreadsheets, prepare simple financial reports, and support month-end processes
Customer & Client Interaction
• Communicate professionally with clients, vendors, and partners
• Provide excellent customer service and follow-up to ensure positive experiences
• Serve as a key point of contact for general inquiries and scheduling
Light Travel & Errands
• Occasional local travel for office needs

Experience
• 2+ years in administrative, office management, coordination, accounting, or operations support
• Experience with accounting. Invoicing, billing, scheduling, logistics, A/P & A/R
