Executive Assistant, Development and Investments
We are seeking a highly adaptable and strategic Executive Assistant to support our CIO and key members of our Development and Investments (“D&I”) leadership team. This role goes far beyond traditional administrative support, requiring someone who is comfortable wearing multiple hats, pivoting priorities quickly, and proactively solving problems in a dynamic, mission-driven environment.
The ideal candidate is a resourceful self-starter with exceptional judgment and the ability to manage a wide range of responsibilities with professionalism and discretion. You will serve as a strategic partner to leadership, anticipating needs, identifying solutions, and ensuring operations run smoothly across multiple functions. Key Responsibilities:
- Strategically manage complex and shifting calendars, schedules, and priorities for the CIO and multiple senior leaders within “D&I”, while maintaining a focus on efficiency and long-term planning.
- Cultivate and maintain strong, trust-based relationships with internal and external stakeholders—serving as a key representative of the team to ensure clear communication, seamless collaboration, and a positive, professional experience for everyone the role interacts with.
- Act as a liaison across teams and departments, ensuring clear communication and alignment on key initiatives.
- Lead logistical planning and execution for “D&I” and inner office events & meetings, including venue coordination, A/V setup, vendor management, transportation, and scheduling to ensure seamless event delivery and a professional attendee experience.
- Oversee local office operations and ensure all systems—from inventory to onboarding—are running effectively and support a productive work environment.
- Support high-level travel arrangements and prepare related documentation with a proactive, detail-oriented approach.
- Handle multiple expense reports in an organized and timely manner.
- Manage confidential communications and materials with discretion, professionalism, and strategic insight.
- Coordinate onboarding processes and act as a key resource for new hires, especially those based in the Boca Office.
- Balance day-to-day administrative tasks with longer-term special projects, often stepping into roles that require creativity, initiative, and cross-functional collaboration.
- Continuously look for opportunities to streamline processes, improve systems, and anticipate the evolving needs of the team.
Preferred Qualifications:
- Bachelor’s degree preferred.
- Proven experience supporting multiple senior executives, ideally in a high-growth, entrepreneurial environment.
- Demonstrated ability to pivot quickly, manage competing priorities, and perform effectively under pressure.
- Excellent interpersonal communication skills—both written and verbal—with the ability to engage confidently with stakeholders at all levels.
- Strategic thinker with a hands-on, no-task-too-small mentality.
- Strong proficiency in Microsoft Office Suite, Adobe Acrobat, and familiarity with social media/web tools.
- High energy, solutions-oriented, and able to work both independently and collaboratively.
- Customer-service mindset with a commitment to excellence and continuous improvement.
