Administrative Assistant for Global Support & Implementation
POSITION SUMMARY:
Provides administrative support services to the Director of Client Services, specifically for the Technical Support Services, Account Management, and Client Relations teams.
DUTIES AND RESPONSIBILITIES:
Technical Activities: (As requested)
- Schedules conference calls, maintains calendar, and meetings for the Director of Client Services
- Generates agendas for internal and external meetings for both remote and onsite
- Records and publishes meeting minutes and action items for Departmental meetings
- Assist in managing and posting documents to the MS Teams, Client Dashboards, Salesforce, and other sites
- Create, Submit and Track purchase requisitions
- Updates emergency contact list and hurricane planning checklist
- Schedules and confirms travel dates for SCC & Client Onsite Meetings
- Reviews and Submits ADHOC reports for Director of Client Services
- Reviews and Submits Expense reports
- Assists in planning of the Annual SNUG Conference
- Assists in planning Client Services Divisional Activities
- Monitors and answers the Director’s phone in their absence recording and requests for returned calls
- Prepares and published daily attendance report to SCC Management
- Prepares weekly payroll time clock reports for review and approval
- New hire training progress report
- Time Sheet to Time Clock Variance Exception Report
- Runs current and adhoc reports for Division Management
Administrative Duties:
- Properly timesheets against appropriate SCC tasks
- Properly uses time clock as required to track working hours
- Reviews assigned workload to assesses potential delays in the delivery of solutions
- Responds to voice messages in a timely manner
- Provides meaningful recommendations for improving team productivity and the overall effectiveness of the support effort
- Participates in corporate client service and technical training programs as assigned Complies with all approved procedures, directives and guidelines
- Performs other duties as assigned
JOB SPECIFICATIONS:
Education Required:
An Associate’s Degree in Business Administration or related is required.
Experience Required:
Prior administrative experience in a business environment or related is required. Previous experience within a service-related industry is desirable.
Knowledge and Skills Required:
- Proficient in the use of a PC
- Proficient in the use of MS Office Applications
- Excellent writing, communication, presentation, organization, and interpersonal skills.
- The ability to work independently and effectively under stress as well as the ability to define priorities, multi-task, and complete work assignments in a timely manner.

- Responsive
