Position Overview
We are seeking an experienced Bookkeeper / Accounting Specialist to support multiple behavioral health entities operating in Florida and Tennessee, including Residential, PHP, and IOP levels of care. This role is responsible for full-cycle accounting, including Accounts Payable (AP), Accounts Receivable (AR), reconciliations, and financial documentation, while working closely with and supporting the company’s external accounting/CPA firm.
This position plays a critical role in maintaining accurate financial records, audit readiness, and financial compliance across all entities.
Key Responsibilities
- Perform full-cycle accounting for multiple entities across Florida and Tennessee.
- Manage Accounts Payable (AP) including invoice processing, vendor payments, reconciliations, and expense tracking.
- Manage Accounts Receivable (AR) including invoicing, payment posting, reconciliation of patient and payer payments, and tracking outstanding balances.
- Maintain the general ledger, post journal entries, and complete bank and credit card reconciliations.
- Support month-end and year-end close processes.
- Prepare, organize, and provide supporting documentation to the company’s external accounting/CPA firm, including invoices, receipts, bank statements, AP/AR detail, and audit requests.
- Collaborate with leadership, operations, billing, HR, and the external accounting firm to ensure accurate and timely financial reporting.
- Maintain organized financial records and filing systems in accordance with record-retention requirements.
- Assist with payroll and benefit reconciliation support, as applicable.
- Utilize QuickBooks and advanced Microsoft Excel (pivot tables, formulas, reporting) to support accounting and reporting needs.
- Support audits, payer reviews, and regulatory or accreditation-related financial requests.
Qualifications
Required:
- Associate’s degree or higher in Accounting, Finance, Business Administration, or related field
- Minimum 3+ years of bookkeeping or accounting experience
- Hands-on experience with full-cycle accounting, AP/AR, reconciliations, and general ledger
- Strong proficiency in QuickBooks
- Advanced Excel skills (pivot tables, VLOOKUP/XLOOKUP, formulas, reporting)
- High attention to detail, strong organizational skills, and ability to manage multiple entities
- Excellent written and verbal communication skills
Preferred:
- CPA (Certified Public Accountant) – preferred but not required
- Experience working alongside or supporting an external accounting or CPA firm
- Healthcare or behavioral health accounting experience
- Experience supporting audits or multi-entity organizations
Monday - Friday 8am - 5 pm. Occasional evenings and weekends.
