About you
We are seeking a highly organized and detail-oriented Administrative Assistant to support our day-to-day administrative operations. Your role is essential to maintaining efficient office workflows and supporting project-related documentation. You’re dependable, well-organized, and able to manage multiple tasks. You’re skilled at prioritizing and adapting in a fast-paced environment.
Responsibilities
· Request and track subcontractor releases
· Request and manage supplier Notices to Owners
· Perform accurate data entry and update project budget Excel spreadsheets
· Provide general clerical support, including typing, filing, scanning, and photocopying
· Bookkeeping tasks using QuickBooks
· Help maintain and track subcontractor insurance certificates
· Support project coordination and administrative tasks as needed
· Maintain and order office supplies
Qualifications & Skills
· Strong data entry skills with a high level of accuracy
· Excellent organizational skills and strong attention to detail
· Highly organized and able to manage multiple tasks efficiently
· Proficient in general computer applications; able to learn new software quickly
· QuickBooks knowledge preferred
· Strong written and verbal communication skills, bilingual a plus
· Experience in a real estate or construction office environment is preferred
· Project coordination experience is a plus
