Job overview

Responsible for hotel invoicing and collections, working to reduce and maintain A/R ledger within limits specified by Assistant Controller and Controller while maximizing the cash flow.

Duties and responsibilities

Accounts Receivable:

  • Maintain complete knowledge of computer systems and manual backup procedures.
  • Answer telephone within 3 rings, using correct salutations and telephone etiquette and reply to all customer requests in a timely and reasonable manner.
  • Enforce Hotel's credit policy and monitor the in house over credit report and cash guests for adequate available credit.
  • Assist reservations in planning and setup of different master and A/R accounts for conventions and groups
  • Review A/R transfers daily.
  • Review aging and follow up on delinquent accounts to minimize uncollectible balances and reduce the number of days revenue in the City Ledger.
  • Report problematic accounts on a timely basis to the Assistant Controller, Controller, Director of Sales and General Manager to coordinate collection efforts and when necessary prepare write-off if deemed uncollectible.
  • Attends all group resume and pre-convention meetings as needed and follow up that all deposits and payments are received as per contract, prior to arrival.
  • Maintains and updates credit policy
  • Ensure credit card accounts are reconciled monthly
  • Gather tax exemption back-up for banquets and conferences
  • Assist with other accounting duties as necessary
  • Familiarity and adherence to all Real Hotels and Resorts policies and internal policies and processes related to Accounts Receivable.

  • Must be service oriented, handle guest request in a timely and respectful manner.

Qualifications and requirements

To qualify for this position, you must understand hotel operations and systems including Opera, Delphi, Micros and Microsoft office.
