Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to support our team and ensure efficient operation of the office. The ideal candidate will handle a variety of administrative and clerical tasks, provide support to managers and employees, and assist in daily office needs. This role requires a high level of discretion and the ability to handle confidential information with integrity and professionalism.
Key Responsibilities:
- Manage and maintain schedules, appointments, and travel arrangements for management.
- Answer and direct phone calls, emails, and other correspondence.
- Organize and schedule meetings, prepare meeting agendas, and take meeting minutes.
- Maintain physical and digital filing systems.
- Order office supplies and research new deals and suppliers.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Assist in the preparation of regularly scheduled reports.
- Handle sensitive and confidential information with discretion.
- Coordinate office procedures and provide general support to visitors.
- Liaise with executive and senior administrative assistants to handle requests and queries.
Requirements and Skills:
- Proven experience as an administrative assistant, virtual assistant, or office admin assistant.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Strong written and verbal communication skills.
- Ability to maintain a high level of confidentiality and discretion in all aspects of the role.
- High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary will be a plus.
- 3+ years in an Administrative Assistant role.
Preferred Qualifications:
- Associate or bachelor’s degree in business administration or related field.
- Experience with office management systems and procedures.
- Knowledge of office equipment (e.g., printers and fax machines).
Work Environment:
- Office-based with standard business hours.
- Occasional weekend work may be required based on workload or special projects.
- May require occasional overtime or flexible hours.
