TALENT FREQUENCY is an Orlando-based AI Start-up Recruiting Voice Solution company seeking a sharp, resourceful, and tech-savvy Executive Assistant to support our CEO & Founder in daily operations, project execution, and internal coordination. This role is perfect for someone who thrives in a dynamic startup environment, understands the pace of entrepreneurial leadership, and brings a calm, organized presence to complex days.
Location: Hybrid (1-2 Days from Home, 1-2 days/week in Windermere, FL office)
Hours: 12–15 hours/week (Flexible hours, but some availability during core business hours is preferred)
Work Type: Contractor or W2 depending on candidate preference
Experience & Background
· 1+ year of business experience working in an office support or administrative function
· Excellent communication and organizational skills; capable of managing complex calendars and follow-ups
· Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word), Google Workspace, and remote collaboration tools
· Familiarity or openness to learning AI tools like ChatGPT, ClickUp, Airtable, Synthesia, Canva, etc.
· Highly reliable, proactive, resourceful, and discreet
· Able to work independently, with high attention to detail, and without daily hand-holding
· Experience supporting C-level executives or founders in a fast-paced environment is a plus

- Social media coordination or light content support
- Experience in startup, tech, or creative environments
- Interest in AI, marketing automation, or SaaS operations
Core Role & Responsibilities
Collaborate with CEO’s calendar, priorities, tasks, meetings, and travel/events schedule
· Help prepare agendas, notes, presentation materials, and follow-ups for internal and external meetings
· Assist with priority-setting and daily task execution for the CEO
· Coordinate across departments, team members, and contractors to ensure follow-through on projects
· Support event logistics, including trade shows, conferences, investor meetings, and webinars
· Conduct research, organize materials, and summarize findings for business development or client strategy
· Provide light marketing assistance: reviewing drafts, helping with social media coordination, or tracking campaign deadlines
· Support content workflows and task delegation in ClickUp, Outlook, SharePoint, and internal documentation
· Collaborate with external vendors, partners, and consultants as needed
· Serve as a technology facilitator—comfortable learning and using AI tools (like ChatGPT), cloud platforms, productivity suites, and automation systems
