We are seeking a highly capable Executive Operations Coordinator to support and help scale two growing businesses: a service-driven irrigation & outdoor lighting company and a specialty terrazzo & concrete contracting company.

This role requires someone with entrepreneurial instincts, excellent self-management, strong problem-solving abilities, and the professional maturity to operate as a true right hand to the owner. The ideal candidate thinks several steps ahead, adapts quickly, and brings both structure and creativity to a fast-moving environment.

Key Responsibilities

Administrative & HR Leadership

  • Collaborate with our recruiting partner and manage the candidate pipeline, including first-contact phone interviews
  • Ensure tasks and follow-ups are completed across both teams
  • Oversee vendor communication and contract management
  • Maintain organized documentation and smooth information flow

Marketing & Sales Support

  • Coordinate outreach efforts, events, and brand-building activities
  • Collaborate with marketing and website partners to support social media content and scheduling
  • Assist with customer follow-up, quotes, samples, and proposals
  • Contribute creative ideas to strengthen marketing initiatives

Operations Coordination

  • Develop SOPs, workflows, and accountability systems
  • Manage CRM structure, data cleanup, and integrations
  • Implement project management tools and operational automations
  • Conduct market research and competitive analysis
  • Track priorities and ensure projects move forward

What We’re Looking For

Core Qualifications

  • Proven experience in business operations or executive support roles
  • Strong organizational skills with the ability to manage many moving parts
  • Proficiency with CRM systems, project management tools, and digital platforms
  • Excellent written and verbal communication skills
  • Ability to work independently with minimal direction

Structure & Collaboration

  • The role is fully remote. Hours are flexible, with an agreed-upon schedule to ensure reliable availability and smooth daily communication.
  • Two structured check-in calls per week will help align priorities and review progress.
  • High autonomy outside of scheduled touchpoints.
