POSITION PURPOSE:
Oversee and review clinical provider, nursing and other support personnel schedules, ensuring adequate staffing levels at all sites for all clinical and support positions. Coordinate and organize work schedules for employees to ensure appropriate staff resources at all times. Manage leave requests and unplanned leave coverage requirements. Assist human resources through the scheduling of orientation and re-certification requirements; training requirements; and, other administrative tasks. Act as a liaison between the medical staff and other departments. Oversee provider calendars, leave requests, and time and effort reporting.
POSITION REQUIREMENTS / QUALIFICATIONS:
Education/Experience:
Associates Degree, preferred. Experience with clinical scheduling and physician practice. Knowledge of patient care requirements and physician privileges. Must have at least three (3) year’s experience in Health Care atmosphere, preferably in a Community Health Center.
Licensure / Certification:
CPR Certification from the American Heart Association.
Skills / Ability:
Ability to work in culturally sensitive atmosphere. Demonstrates proficiency in verbal and written skills. Ability to handle the demands of a fast-paced service organization.
POSITION RESPONSIBILITIES (THIS IS A NON-EXEMPT POSITION)
Complete daily all clinical provider, nursing and site support staff schedules, including Pediatrics, OBGYN, Family Medicine, and Urgent Care units at all sites, and ensure adequate staffing for all care units. Work collaboratively with Finance and Site Management on scheduling of support staff.
Manage all leave requests, including conference leave, educational leave, and personal/health leave requests.
Handle all unscheduled leave issues, ensuring schedules are closed or coverage is provided as dictated by provider availability.
Communicate with clinical leadership regarding all scheduling and provider issues, including abuse of time, insufficient notice for leave issues, and other concerns.
Assist Human Resources department with ensuring appropriate orientation, educational, and training requirements for all providers.
Utilize software program to coordinate and report on scheduling details and issues.
Maintain cumulative provider leave information, CME information, and report to Human Resources.
Works directly and independently with the Teaching Health Center Program Coordinators in the development and modification of Continuity Clinic coverage.
Acts as primary point of contact for all complex clinical scheduling issues.
Participates in planning, implementation, and control of unit operational programs.
Participates in workflow decisions, to ensure clinical coverage issues are known and addressed.
Develop, maintain, and provide reports to AVP HR regarding tardiness and unscheduled leave.
Work collaboratively with Human Resources department regarding ensuring Credentialing requirements are met by all providers.
Adheres to Confidentiality Policies and Procedures / HIPAA Regulations.
Perform other duties as assigned.
