Accounts Payable & Financial Management

  • Process and reconcile accounts payable transactions related to import operations.
  • Manage vendor billing relationships and obtain necessary invoice approvals.
  • Reconcile general ledger accounts for import-related expenses.
  • Reconcile the corporate credit card monthly by coding transactions in Concur and uploading supporting documentation.
  • Resolve invoicing discrepancies by working with vendors, Accounting, and third-party billing teams.
  • Maintain freight tracking in Smartsheet, including updating dates when invoices are submitted to AP.

Shipment Coordination, Customs Compliance & Records Management

  • Manage end-to-end shipment movement, including tracking, submitting carrier instructions, and meeting delivery deadlines.
  • Resolve missing documentation issues with factories and carriers.
  • Coordinate equipment pickup/return to avoid demurrage or detention charges.
  • Schedule USDA inspections and arrange fumigation services as required.
  • Maintain accurate and compliant records for imports, including fumigation, holds, APHIS documentation, and laboratory results.
  • Ensure all import documentation meets regulatory requirements and complies with the Customs Modernization Act.
  • Track and document packages on required hold lists and coordinate release of goods from carriers or government agencies.
  • Conduct Greenhouse Certification Program (GCP) audits and upload phytosanitary sticker reports to SharePoint by load or order number.
  • Submit phytosanitary certificate applications for international exports.
  • Maintain and renew USDA compliance agreements; monitor expiration dates and ensure ongoing compliance with USDA terms and conditions.
  • Manage Import and Export CITES documentation by saving and organizing all permits, certificates, and plant material records in SharePoint.
  • Ensure all CITES permits, phytosanitary certificates, customs documents, and USDA compliance records are properly maintained and audit-ready.
  • Maintain organized SharePoint filing for export and compliance records.
  • Document regulatory interactions, issues, and state agriculture correspondence.
  • Ensure all compliance and audit documentation is organized, current, and easily accessible.
  • ·Perform other duties and tasks as assigned as the position evolves and business needs develop

Requirements:

  • Bachelor's degree in business administration, Supply Chain Management, Logistics, International Trade, or related field preferred
  • Advanced English Level
  • 2+ years of international transportation experience
  • Must reside in Santo Domingo
  • Proficiency in Microsoft Excel, Outlook and Word
  • High sense of urgency with the ability to set priorities and organize workload assigned in an efficient manner
  • Ability to work under pressure and adhere to deadlines
  • Ability to multitask and work as part of a diverse team
  • Exceptional customer service and problem-solving skills
  • Exceptional communication skills
  • Organizational skills to manage multiple tasks to completion simultaneously
