Job SummaryWe are seeking a motivated and outgoing Administrative Assistant/Bookkeeper to join our team part time. In this role, you will provide support to our office employees including our sales, shipping, accounting, and administrative departments. Your responsibilities will include answering phone calls, order entry, follow-up communication, filing, and light accounts payable/receivable. The ideal candidate is highly organized with excellent written and verbal communication skills, a friendly demeanor, and the desire to work hard and grow with the company. Must be able to handle confidential information, be drama free, and have a go-getter attitude. Preferred hours are 9am-3pm but we are flexible, the most important things are timeliness, attendance, and dependability.
Responsibilities
- Answer incoming phone calls and route them to the appropriate person
- Enter sales orders and purchase orders
- Contact vendors to follow up on order status
- Keep customers up to date with order lead times
- Maintain an organized filing system and thorough notes
- Record incoming payments
- Organize bills for outgoing payment
Qualifications
- Excellent computer skills and knowledge of Microsoft Outlook, Excel, and Word
- Highly organized with excellent time management skills and the ability to prioritize projects
- Experience with multi-line phone systems and office equipment a plus
- Previous experience as an Administrative Assistant or in a similar position preferred but willing to train the right candidate
