Job Description

Location: Onsite | Monday–Friday 40 hours a week

Compensation: $33/HR-$35/HR (Converted at 75K-80K)

Schedule: Contract to hire (5 +months contract then converted to perm)


Overview:

A dynamic and detail-oriented Executive Operations Coordinator is needed to support senior leadership. This role will provide high-level administrative assistance to ensure executive productivity and organizational efficiency. The successful candidate will be responsible for managing calendars, coordinating travel, preparing reports and presentations, and handling confidential matters with discretion. There is long-term potential for this individual to grow into a full Executive Assistant role.


Key Responsibilities:

  • Coordinate daily administrative tasks to support senior leaders, including scheduling, expense reporting, and correspondence handling.
  • Manage complex calendars; schedule meetings, coordinate logistics, and arrange meals or AV equipment as needed.
  • Draft original correspondence, memos, and presentations; edit and proofread for clarity, accuracy, and professionalism.
  • Act as a professional point of contact for both internal teams and external stakeholders.
  • Answer, screen, and direct phone calls with discretion; relay important information promptly and follow up as needed.
  • Maintain organized paper and digital filing systems for business documents such as contracts, licenses, and statements of work.
  • Support the Office Manager with day-to-day administrative needs and special projects.
  • Order office lunches and supplies as required.
  • Maintain a high level of confidentiality and use sound judgment in all communications and decisions.
  • Participate in and manage components of special projects, preparing reports, tracking progress, and coordinating deliverables.


Qualifications:

  • Bachelor’s degree preferred; high school diploma required with professional certification and equivalent experience.
  • Minimum of 5 years’ administrative experience, including 3+ years supporting executives in mid- to large-sized companies.
  • Excellent communication skills and proven ability to interact with executives, team members, and outside partners.
  • Strong organizational skills and attention to detail; able to manage multiple priorities efficiently.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Must be proactive, reliable, and maintain professionalism at all times.
  • Ideal candidate is career-minded and interested in growing within the company.
  • Stable work history strongly preferred (no frequent job changes).
