Summary:

The construction project accountant position is responsible for monitoring the progress of projects, investigating variances, processing expenses and payables, ensuring that project billings are issued to customers and payments collected, document compliance and financial reporting for the project. These duties and responsibilities are inclusive of, but not limited to the list below.

Duties & Responsibilities:

  1. Create approved budgets in Procore for new projects
  2. Download/Create new project accounts in the accounting system (Sage 100)
  3. Download budgets, subcontracts, purchase orders and change orders from Procore to Sage 100
  4. Create project folder and maintain project-related records/logs including contracts, subcontracts, changes orders, bonds, certificates of insurance, releases of liens, payables and receivable records.
  5. Initial subcontractor and vendor setup into accounting systems (Sage 100)
  6. Coordinate receipt of all required subcontractor documents (i.e. licenses, W9s, bonds, certificates of insurance, notice to owners, lien waivers, sworn statement of accounts and other required paperwork)
  7. Maintain Lien Release Log for specific projects
  8. Maintain subcontractor insurance certificate log and verify certificate compliance
  9. Post approved monthly subcontractor AIA payment applications and vendor invoices into accounting system, and review against contracts to verify accuracy
  10. Organize posted subcontractor AIA payment applications and vendor invoices into Open Payable files sorted by Project/G & A
  11. Reconcile subcontracts and vendor accounts against statements
  12. Prepare weekly check run report based upon specific project payment receipts and vendor terms
  13. Monthly reconciliation and payment processing of credit card statements and revolving credit accounts
  14. Respond to vendor inquiries in a timely and courteous manner
  15. Assist Project Manager with required subcontractor and billing documentation necessary to complete monthly owner payment applications
  16. Work with Project Manager to manage, report, and reconcile DOP (Direct Owner Purchases)
  17. Prepare weekly collection and billing report for Accounting Manager
  18. Prepare monthly Job Cost Report
  19. Investigate project variances and submit variance reports to project manager
  20. Work with Project Manager for Financial Closeout requirements of projects
  21. Create and submit government, audit reports related to projects (Certified Payroll, SBE/SWBE/OEO audits)
  22. Assist in month-end close, G/L account reconciliations; standard journal entries.
  23. Prepare prior year files for transfer to storage and setup files for the new year
  24. Assist Accounting Manager with year-end audit by outside CPA firm
  25. Other project, accounting and clerical duties as needed

Competencies:

  1. Good working knowledge of general accounting principles and procedures, specifically those related to accounts payable
  2. Excellent communication and organizational skills, analytical capabilities and discrepancy resolution.
  3. Must exhibit a high degree of attention to detail and follow-through skills
  4. Solid written and verbal communication skills. Must be able to speak and write clearly in English. Bilingual (Spanish) a plus
  5. Must be a self-starter, goal-oriented individual with the desire to get the job done
  6. Must be able to work well in both a team and individual environment
  7. Ability to be flexible, handle multiple tasks concurrently, identify priorities and work well under pressure to meet deadlines.

Qualifications:

  1. Minimum 5 years Construction Accounting experience preferably in the public school, government work sector
  2. Must have experience with construction accounting software systems such as Sage 100, Procore/
  3. Proficient in MS Office (Excel, Word, Outlook)
  4. Working knowledge of the Notice to Owner, DPO/DOP, lien waiver, and sworn statement collection process
