AST SpaceMobile is building the first and only global cellular broadband network in space to operate directly with standard, unmodified mobile devices based on our extensive IP and patent portfolio and designed for both commercial and government applications. Our engineers and space scientists are on a mission to eliminate the connectivity gaps faced by today's five billion mobile subscribers and finally bring broadband to the billions who remain unconnected.
Summary:
Executive Administrative Assistant's responsibilities include managing calendars, making travel arrangements, and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.
This position is based in Miami, FL, supporting our Chief Financial & Legal Officer and two other executives.
Duties and Responsibilities:
- Act as the point of contact among executives, employees, clients, and other external partners
- Manage information flows in a timely and accurate manner
- Manage executives' calendars and set up meetings
- Make travel and accommodation arrangements
- Rack daily expenses and prepare weekly, monthly, or quarterly reports
- Format information for internal and external communication – memos, emails, presentations, reports
- Take minutes during meetings
- Screen and direct phone calls and distribute correspondence
- Performs general clerical duties including but not limited to filing, photocopying, scanning, and mailing
- Assists with special projects as assigned
Minimum Requirements:
- 4+ years' experience as an Executive Assistant, Personal Assistant, or similar role
- High School diploma or GED Equivalent (Bachelor's degree Preferred)
- Excellent Microsoft Office 365 knowledge
- Outstanding organizational and time management skills
- Familiarity with office gadgets and applications (e.g., e-calendars and copy machines)
- Excellent verbal and written communications skills
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues
- Must be a US Citizen or Permanent Resident Green card holder or have a legal US work permit
- Ability to deal effectively with a diversity of individuals at all organizational levels
- Good judgement with the ability to make timely and sound decisions
- Creative, flexible, and innovative team player
- Ability to work independently and with self-direction
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
