I. Job Summary

The Bilingual Administrative & Customer Support Specialist provides clerical and administrative support to departmental managers while assisting in the coordination of daily operations. This role requires strong customer service skills, advanced computer proficiency, and the ability to communicate effectively in both English and Spanish.

II. Essential Duties and Responsibilities

To perform this job successfully, an individual must be able to carry out the following responsibilities:

  • Provide customer service support in both English and Spanish via phone, email, and dispatch systems.

  • Troubleshoot and resolve safety, service, and operational issues.

  • Create, distribute, and close out customer service tickets daily.

  • Maintain and distribute department-related information, schedules, and reports.

  • Communicate with supervisors, managers, and employees regarding operations, scheduling, and assignments.

  • Use computer software (Word, Excel, email, dispatch systems, databases) to manage various operational tasks including procurement, timekeeping, safety incidents, and labor tracking.

  • Assist with financial tasks such as processing payments and handling documentation.

  • Collect, analyze, and report data for incentive programs and performance tracking.

  • Support the implementation of new projects and initiatives.

  • Perform other clerical and administrative duties as assigned.

III. Supervisory Responsibilities

  • This position does not have supervisory responsibilities.

IV. Qualifications

Education and Experience

  • Required: High school diploma or GED, plus 0–3 years of related experience.

  • Preferred: Additional training or education, with up to 4 years of relevant experience.

Skills and Abilities

  • Must be bilingual (fluent in English and Spanish).

  • Strong customer service and communication skills.

  • Advanced computer skills, including Microsoft Word, Excel, email, and dispatching systems.

  • Strong organizational skills and attention to detail.

  • Ability to problem-solve and manage multiple tasks in a fast-paced environment.

Licenses/Certifications

  • None required.

V. Work Environment

  • Primarily office-based role.

  • Requires frequent use of computers and phones throughout the day.

  • May occasionally lift up to 30 lbs.

  • Rare exposure to occupational risks or environmental elements (dirt, odors, noise, weather).
