Job Title: Outreach/Event Coordinator
Reports To: Director of Operations
FLSA Status: Non-Exempt
Status: Full Time
Hourly: $18-$20 (based on experience)
Summary:
The Daytona Aquarium and Rainforest Adventure’s Outreach/Events Coordinator is an outgoing and motivated individual responsible for ensuring the Daytona Aquarium and Rainforest Adventure’s brand is highly visible both in the community and outlying demographics. The Outreach & Event Coordinator is responsible for planning, organizing, and executing community outreach initiatives and events that increase visibility, engagement, and support for the organization along with executing on site events that drive revenue, brand awareness, and customer engagement. This role builds strong relationships with community partners, assists with public-facing programs, and ensures high-quality event experiences that align with organizational goals.
Duties and Responsibilities include the following. Other duties may be assigned.

Assists In booking field trips, groups, and birthday parties to their entirety

Organize and hosts birthday parties as needed.

Assists in providing schedules to groups and helps facilitate groups during visits.

Organizes, plans, and attends as a working staff member and breaks-down all company shows and special events.

Organizes, plans, attends as a working staff member and breaks-down all offsite company shows and special events.

Sets up meetings and meets with Corporations, schools, and guests to show event space for booking after hours events and weddings.

Organizes, plans, and makes schedules for all after-hour events including animal meet and great or private showings.

Meets with management and committees to plan the scope and format of events; and to review administrative procedures and event progress.

Oversee event logistics such as venue setup, vendors, supplies, schedules, and staffing.

Build and maintain relationships with key clients, partners, and community organizations.

Ensure events run smoothly with an emphasis on customer experience and sales opportunities.

Develop new opportunities for event participation that support sales growth.

Implements and monitors the event timelines.

Maintains inventory for department and purchases supplies and giveaways according to program schedule and needs.

Provide post-event summaries, sales reports, and recommendations.

Responsible for accounting functions of all events to include vendor billing, cash handling and data entry.

Adheres to all company policies and procedures paying special attention to health and/or safety procedures.

Maintains a flexible schedule to include weekend, evening and holiday hours.

Always maintains a professional appearance and displays exceptional communication and interpersonal skills with internal and external customers.

Performs other related duties as assigned.
Qualifications

Experience in sales, event planning, outreach, community engagement, customer service, or related roles.

Strong communication and interpersonal skills.

Excellent organizational and multitasking abilities.

Comfortable working in fast-paced, public-facing environments.

Ability to meet sales goals and focus on revenue-driven event outcomes.

Proficiency with Microsoft Office, Google Workspace, and basic CRM tools.

Willingness to work weekends, holidays, and evenings as events require.
Preferred Skills

Experience in retail, hospitality, entertainment, or community events.

Knowledge of marketing, sales funnels, and lead management.

Ability to analyze event performance and recommend improvements.

Education/Experience:
Bachelor’s degree (B. A.) or equivalent from accredited college or university; or four to six years of related marketing/hospitality experience; or equivalent combination of education and experience
Computer Skills:
To perform this job successfully, an individual should have general knowledge of MS Office software and internet software.
