The Impact You Will Make
The Talent Acquisition Coordinator plays a key role in supporting the full recruitment and onboarding lifecycle. This high-visibility position serves as the first point of contact for candidates and hiring managers, ensuring a professional and positive experience at every stage. Working primarily within Paylocity, our ATS and HRIS, the Coordinator manages system updates, onboarding logistics, compliance documentation, and communication to keep hiring processes running smoothly. This role requires strong organizational skills, attention to detail, and the ability to build productive relationships across the organization.
Essential Duties & Responsibilities:
- Maintain and update the Paylocity Applicant Tracking System (ATS), ensuring job postings, candidate records, and recruitment data are accurate and current.
- Coordinate internal employee promotions and transfers in Paylocity, ensuring all required approvals, documentation, and system updates are completed accurately and on time.
- Serve as the primary point of contact for candidates and hiring managers, providing timely communication, answering questions, and ensuring all recruiting-related needs are addressed.
- Partner with hiring managers to align on staffing requirements, start dates, and onboarding logistics to ensure smooth new hire transitions.
- Monitor and manage the recruiting team’s general email inbox, ensuring inquiries are responded to promptly and routed appropriately.
- Coordinate and oversee candidate onboarding activities in Paylocity, including scheduling, documentation preparation, and facilitating communication between all parties.
- Present and facilitate New Hire Orientation, providing an engaging and informative introduction to the organization.
- Serve as the organization’s I-9 compliance administrator in Paylocity, overseeing completion, verification, and secure storage of employment eligibility documentation in accordance with federal requirements.
- Monitor background check progress, review results, and ensure checks are completed for all required hires, escalating issues as needed.
- Manage pre-adverse and adverse action processes in compliance with applicable laws, ensuring timely communication and accurate documentation.
Requirements:
- Minimum of 2 years of experience as a Talent Acquisition Coordinator or at least 1 year in a high-volume hiring role.
- Proficiency with Applicant Tracking Systems (ATS) and/or HRIS platforms; experience with Paylocity preferred.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Excellent verbal and written communication skills, with the ability to interact effectively with candidates, hiring managers, and team members.
- High attention to detail and commitment to maintaining accurate and compliant records.
- Ability to handle confidential information with professionalism and discretion.
- Working knowledge of onboarding processes, I-9 compliance, and background check procedures is a plus.
- Must possess a valid Drivers License.
