Top Qualifications
- Minimum 5 years of experience in the construction/luxury industry with office coordination, scheduling, or an administrative support role
- Exceptional attention to detail and accuracy — thrives on checklists and organization
- Strong written and verbal communication skills with a professional tone and a customer service mindset
- Self-disciplined and reliable — follows through without constant supervision and solution problem-solver
- Proficient with technology, including CRMs, Microsoft Office, and cloud-based filing systems
- Calm and courteous under pressure — able to adapt to schedule changes and weather-related adjustments
Top Responsibilities
- Manage daily scheduling to ensure seamless project flow with no preventable gaps
- Coordinate communication between clients, installers, and leadership teams
- Handle booking-related follow-up, including contract returns, color selections, and material readiness
- Monitor shared inboxes, phone calls, and customer messages with polished, professional service
- Maintain organized digital and paper filing systems and basic accounting records (receipts, categorization, A/R tracking)
- Prepare office materials and supplies to support sales and field operations
