Position Summary

The Construction Office Manager is responsible for overseeing all administrative, financial, and compliance-related office functions to support construction operations. This role serves as the central coordination point between field teams, project managers, vendors, clients, and company leadership.

Key Responsibilities

Administrative & Office Operations

  • - Manage daily office operations and administrative staff
  • - Establish and maintain office procedures and systems
  • - Manage office supplies, vendors, and equipment
  • - Maintain organized physical and digital filing systems

Financial & Accounting Support

  • - Process accounts payable and receivable
  • - Assist with payroll, timekeeping, and labor compliance
  • - Track job costs, invoices, lien waivers, and insurance certificates
  • - Coordinate with accountants and auditors

Human Resources & Compliance

  • - Support hiring, onboarding, and employee record management
  • - Track licenses, certifications, and training
  • - Ensure compliance with OSHA, labor laws, and company policies
  • - Manage workers’ compensation and incident documentation

Project Documentation & Coordination

  • - Assist project managers and superintendents
  • - Coordinate permits, inspections, and regulatory submissions with PMs

Contracts & Legal Support

  • - Assist with contract preparation and tracking
  • - Maintain insurance, bonds, and compliance documentation
  • - Track lien releases and statutory notices
  • Communication & Client Support
  • - Serve as the primary office contact
  • - Communicate with clients, subcontractors, and suppliers
  • - Schedule meetings and maintain calendars

Technology & Systems

  • - Manage construction management software (e.g., Procore, Buildertrend)
  • - Maintain document control systems and data integrity

Qualifications

  • - Associate or Bachelor’s degree preferred
  • - 3+ years of experience in construction administration
  • - Strong organizational and communication skills
  • - Proficiency in Microsoft Office and construction software
  • - Bilingual (English and Spanish )

Work Environment

  • This position is primarily office-based with occasional interaction with job sites.
