Job Description:
The Operations Support Specialist plays a key role in assisting and working directly with upper-level management on a wide range of property management responsibilities. This position provides flexible support wherever needed, including administrative work, property inspections, site visits, vendor coordination, property manager and client interaction. The ideal candidate is highly adaptable, resourceful, detail-oriented, and comfortable working both in the office and out in the field across the Tampa Bay area
Key Responsibilities:
· Conduct property walkthroughs, inspections, and site visits to identify maintenance needs and ensure compliance with company
standards.· Assist management with vendor and contractor coordination, including scheduling, follow-ups, and quality checks.· Support office operations by handling scheduling, reporting, data entry, and general administrative tasks.· Provide field support as needed for client meetings, move-ins/outs, and property tours.· Monitor and track open work orders to ensure timely completion, keeping management informed.· Respond to urgent property needs or emergencies, relaying updates to management and assisting with resolution.· Assist with documentation, reports, and presentations for internal and client use.· Serve as a point of contact for tenants and clients when management is unavailable, ensuring concerns are communicated and
resolved.· Help “close the loop” on open tasks by following through with updates, reminders, and confirmations.· Act as a flexible resource to step in and support management across a wide range of operational needs.
Qualifications:
· Minimum of 5 years of experience in property management, with at least 3 years in a managerial role.· Strong knowledge of property management principles, practices, laws and HUD regulations.· Excellent problem solving, communication, and organizational skills.· Proficiency in property management software and Microsoft Office Suite for operational analysis and reporting purposes via a
computer and smartphone app.· Must possess a valid driver’s license and reliable vehicle for daily travel to properties as needed throughout Pinellas, Hillsborough,
Pasco and Hernando counties (mileage reimbursement applies).· Must possess a smartphone capable of running a standard property management software app· Good working knowledge of property maintenance techniques, processes and procedures · Ability to work independently and adapt to changing priorities.· Florida Real Estate License is preferred but not required.
Working Environment and Conditions:
· Office-based tasks combined with regular site visits and fieldwork.· May require availability outside of normal business hours in case of emergencies.· Physical requirements include walking properties, climbing stairs, and occasional lifting (up to 50 lbs).· May include travel to multiple locations as needed across the bay area· Wide variety of daily work – no two days are the same
