The ideal candidate will be a detail-oriented and highly organized administrative professional with a minimum of 5 years of experience specifically within the HVAC industry. This role requires a comprehensive understanding of HVAC operations, terminology, and workflows to effectively support our team. The administrative assistant will handle a variety of tasks, from customer service and scheduling to billing and inventory management, ensuring the smooth day-to-day operation of the office.
Key Responsibilities:

Customer & Client Relations: Serve as the primary point of contact for clients, handling inquiries, scheduling service appointments, and managing customer communication via phone and email.

Scheduling & Dispatch: Coordinate service calls and installations, dispatching technicians efficiently based on location and expertise. Maintain and update the technician's schedule in real time.

Billing & Invoicing: Generate and process invoices for services rendered, track payments, and follow up on overdue accounts.

Inventory Management: Assist with tracking and ordering parts and equipment, maintaining accurate inventory records to ensure technicians have the necessary supplies.

File Management: Maintain and organize both physical and digital files, including client records, service agreements, and project documentation.

General Office Support: Provide a range of administrative support, including data entry, report generation, and other tasks as needed to keep the office running smoothly.
Qualifications:

Experience: A minimum of 5 years of proven experience in an administrative role within the HVAC industry is required.

Skills: Strong proficiency in Apple OS and QuickBooks, excellent communication and interpersonal skills, and the ability to multitask effectively in a fast-paced environment. Experience with HVAC-specific software (e.g., Housecall Pro) is a significant plus.

Knowledge: In-depth knowledge of HVAC systems, components, and industry terminology is essential for success in this role.

Our work week is Monday through Friday 7:30-4:30 sometimes later.
An occasional Saturday for emergency only.
Profit sharing includes Extra compensation for installation work, Commission on sales.
We provide company vehicles and work attire.
