The Role: Operational Doer
We're looking for an Operations Manager who thrives on making things happen -- not just planning them. You'll be the operational backbone of our company, turning strategy into reality across consulting, coaching, masterminds, retreats, marketing, and technology.
This isn't about creating new frameworks from scratch. It's about implementing, improving, and executing the systems that keep us profitable, productive, and performing at our best.
You'll also lead the creation and execution of a 90-Day Operational Leadership Plan aligned with Metaspire's ACTT Blueprint (Alignment-Crew-Transformation-Transition) bringing structure, flow, and accountability to everything we do.
What You'll Actually Do:
Make Strategy Real
- Execute quarterly plans with clear timelines and accountability
- Keep all priorities visible and on track
- Support evaluation of results and outcomes
- Maintain alignment across the company
Run the Numbers & Operations
- Build and maintain KPI dashboards for performance, capacity, and profitability
- Track budgets, forecasts, and operational efficiency
- Identify opportunities to work smarter, not just harder
- Lead continuous improvement with data, not guesswork
Deliver Exceptional Client Experiences
- Coordinate client onboarding, engagement flow, and project delivery
- Ensure projects finish on time, on standard, and within scope
- Prepare materials for consulting, training, and coaching programs
- Support delivery of ACTT Blueprint, Leadership Jumpstart, Team Transformations, and Breakthrough Retreats
- Protect client results and KPIs
Improve Processes & Systems
- Document workflows and create clear, usable SOPs
- Map current and future state processes for clarity and scale
- Apply process-improvement tools: SIPOC, VOC, swimlane diagrams, root-cause analysis, Pareto, Monte Carlo simulations, RACI, Kaizen, value stream mapping, KPI dashboards, & small pilots
- Ensure systems reflect how work actually gets done, not how we wish it did
- Maintain version control on all documents
- Coordinate technology solutions that support operations and client delivery
Support Marketing & Sales Execution
- Execute marketing plans with discipline and follow-through
- Coordinate timelines, assets, and follow-ups
- Maintain continuity from marketing intake onboarding delivery nurture
- Support visibility for masterclasses, retreats, and client awareness efforts
Drive Team Accountability & Performance
- Lead weekly operations meetings focused on KPIs, priorities, and commitments
- Maintain dashboards that show progress and profitability
- Coach team members on communication, organization, and accountability
- Reinforce a culture where structure and joy coexist
Handle Daily Operations & Problem-Solving
- Coordinate operations across all business lines
- Spot risks early and solve problems proactively
- Lead Lessons Learned cycles to improve delivery and operations
- Scale systems and capacity as the company grows

What You Bring:
Required:
- 5+ years in operations, project management, or consulting
- Strong process improvement knowledge (Lean, Six Sigma, or similar)
- Proficiency with process-mapping tools (Lucidchart, Visio, Miro, SmartDraw)
- Proficiency with project management tools (ClickUp, Asana, Monday.com)
- Experience managing cross-functional teams and projects
- Exceptional written and verbal communication
- Based within driving distance of Boca Raton (preferred)
Bonus:
- PMP or similar certification
