Job Description

This position is responsible for facilitating smooth and efficient office operations by providing comprehensive administrative support to HR and maintaining effective communications both internally and externally. By managing scheduling, coordinating meetings, and serving as the first point of contact for visitors and clients.


Key Responsibilities

  • Collaborate and support the onboarding process and the internal communication
  • Assist the Executive Officer with various tasks and serves as the back-up for the Executive Assistant when necessary
  • Greets visitors and clients in a professional manner, managing the reception area and providing information as needed.
  • Answers phone calls, directing inquiries to appropriate personnel and taking messages when necessary.
  • Provides general administrative support to teams, including managing supplies, organizing files, and performing data entry tasks.
  • Organizes internal and external events, such as team-building activities, training sessions, and client meetings, ensuring all logistical details are handled.
  • Manages incoming and outgoing mail and packages, ensuring timely distribution and handling of correspondence.
  • Assist the Preferred Banking Areas with document preparation of ACR and CIF forms that pertain customer servicing without contacting clients directly.

Requirements: Technical Studies/Possible Degrees: Administration, HR, Marketing

Experience: 1-2 Years

Systems & Tools: Avaya, microsoft outlook, teams, canvas, AI

Needed for the position: Microsoft office, strong communication skills, multitasking and customer service
