Summary
We are seeking an experienced and proactive Personal Assistant to support a dynamic individual and their family with day-to-day administrative, scheduling, and financial tasks — especially those involving QuickBooks and bookkeeping. While most work can be done remotely, frequent in-person collaboration will be essential, so candidates must reside in or near Boca Raton or Delray Beach.
This is not your average assistant role. We’re looking for someone who can think strategically, manage multiple responsibilities with calm confidence, and take initiative without being micromanaged. You’ll need to move projects forward, communicate proactively, and keep in touch with the family to inform about what has been completed and what is coming next.
Job Responsibilities
Financial & Administrative Support
· Manage QuickBooks entries across multiple personal and business accounts
· Handle invoice processing, bill payments, reimbursements, and basic budgeting
· Track and organize receipts, reconcile statements, and prepare light reports
· Assist with financial recordkeeping for properties, vendors, and family expenses
· Coordinate with accountants and bookkeepers when needed
Personal & Family Task Support
· Help coordinate schedules, appointments, and travel
· Liaise with household vendors, property managers, and service providers
· Maintain key documents and handle confidential information with discretion
· Help streamline daily operations, and anticipate needs before they arise
Ideal Candidate Traits
· Proactive communicator, who doesn’t wait to be asked
· A naturally organized multitasker with very high attention to detail
· Excellent with QuickBooks and has a solid command of Excel or Google Sheets
· Professional, discreet, and respectful of privacy and personal boundaries
· Reliable, flexible, and available for frequent in-person collaboration in East Boca Raton/Delray area
Requirements
· 5+ years of relevant experience (administrative or financial support)
· Demonstrated proficiency with QuickBooks (non-negotiable)
· Solid grasp of personal finance and expense tracking
· Tech-savvy and resourceful — able to learn new platforms with ease
· Bachelor’s degree preferred, but not required if experience is exceptional
· Lives within 30 minutes of East Boca Raton or Delray Beach
