We are a growing small business based in Hollywood, Florida, with a dedicated team of 10–14 professionals. As a broker for hard money loans, we work closely with our Clients, providing fast, flexible funding solutions. Our company is growing quickly, and we’re looking for a hands-on Operations & Office/HR Manager who is excited to grow with us and help take our internal systems, team, and operations to the next level.
We are seeking an experienced and versatile Operations & Office/HR Manager to oversee daily operations, office administration, and human resources functions. This role requires a strong leader who can implement effective systems, ensure regulatory compliance, and help scale the organization efficiently. The ideal candidate will bring a balance of strategic thinking and hands-on management, with the ability to lead teams and improve overall business performance.
Key Responsibilities:
Operations Management:

Develop and implement operational policies and procedures for efficient workflows

Enhance systems, processes, and best practices for operational excellence

Manage day-to-day operations and oversee the operations team and department
-
Ensure organizational processes comply with legal regulations and standards

Handle budgets, forecasting, and resource allocation to meet strategic goals
-
Collaborate across departments to align operations with business objectives
-
Optimize business travel processes, secure corporate rates, automate expense reports, and ensure compliance
-
Cultivate and maintain vendor and supplier relationships; negotiate contracts for favorable pricing
-
Analyze operational data to identify cost-saving opportunities and process improvements
-
Implement quality assurance measures and monitor production or service KPIs
-
Manage supply chain processes (inventory, sourcing, sales, production) if applicable
-
Monitor performance, offering coaching, training, and feedback for continuous improvement
-
Help improve and maintain the company’s CRM system (HubSpot, , etc.) to ensure accuracy and usability

Maintain sustainability in service operations and integrate new technologies when needed

Report on operational efficiency, quality standards, and overall performance
Office Management:

Ensure smooth daily office operations and a productive work environment

Oversee office supplies, facility needs, and vendor management

Lead administrative support functions and internal communications
Human Resources:

Manage hiring plans, recruitment, onboarding, and offboarding processes

Maintain employee records and ensure compliance with HR policies and labor laws

Develop conflict-resolution programs and manage employee relations issues

Oversee performance reviews, employee engagement, and training programs
-
Enforce health and safety compliance and workplace standards

Coordinate payroll processing and benefits administration

Qualifications:

Bachelor’s or Master’s degree in Business Administration or a related field

Proven experience in operations, HR, and office management roles
-
Strong leadership, problem-solving, and interpersonal communication skills

Skilled in Google Sheets (e.g., data analysis, formulas, dashboards)

Experience working with and maintaining CRM systems (e.g., HubSpot, )

Familiar with HR compliance, employment law, and best practices

Proficient in Microsoft Office, project management tools, and HR software

Ability to analyze data, identify trends, and drive improvements

Comfortable managing vendors and negotiating contracts

Strong attention to detail, time management, and multi-tasking ability
