We are looking to hire an Office Manager with a problem solver mind set, multi-tasker, and a team player. You will ensure the smooth and efficient functioning of the business office. At least five years of experience in a plumbing or similar industry. Experience working with Quickbooks, accounts payable/receivable.
Responsibilities:
- Manage records and information on clients accounts
- Serve as primary contact for vendors, contractors, clients and internal staff
- Provide administrative assistance to management team
- Encourage and improve cross-department internal communication
- Answer all incoming calls, and walk-ins
- Manage Certificates of Insurance
- Monitor GPS in company vehicles, analyzes GPS reports
- Tracks office expenses, ensures that office supplies are ordered on time and replenished
- Coordinates office meetings and events
- Process job starts, and labor credits; reviews weekly timesheets to ensure accuracy. Submits report for payroll processing
- Perform other office tasks (replenish office supplies, distribute mail, coordinate custodial duties, etc.)
Qualifications:
- Five years of experience as an office manager or executive assistant, bachelor's degree in Business Administration or Accounting preferable
- Proficient with Quickbooks, Microsoft Suite, Teams, Internet Search, and Monday.com
- A quick learner and a high level of accuracy
- Ability to prioritize and multi-task
- Strong organizational skills
- Capable of working at a fast pace within a variety of circumstances; maintains a professional demeanor at all times
- Strong leadership qualities: problem solver, effective communications, leading by example, and self-control
