The Administrative Assistant is responsible for greeting visitors as well as answering and directing telephone calls. This individual will also help maintain the subject database while adhering to HIPAA and GCP guidelines. Other duties include ordering office supplies, maintaining the postage meter, and distributing and sending mail.

The Job

  • Acknowledge any Patients/Subjects/Monitors/Site Visitors that have arrived and review sign-in sheet
  • Print and review daily subject schedule
  • Distribute and review intake forms to subjects
  • Distribute voicemails and faxes
  • Restrock paper in fax machines and copy machines in the morning and afternoon
  • Pick up and distribute mail daily
  • Order supplies on Mondays and Wednesdays (depending on workflow)
  • Assist Clinical Conductor with payments and subject visits
  • Assist with RSVP fingerprint system

Requirements

  • High school graduate or equivalent required
  • Must have excellent written and verbal communication skills in English and Spanish
  • Must be computer literate with Microsoft Office proficiency and accurate typing skills
