Job Description

The shipping and receiving clerk is an essential part of the operations team, responsible for the accurate and efficient processing of incoming and outgoing materials, components, and finished products. This role ensures all shipments meet quality standards, adhere to safety protocols, and fulfill customer delivery requirements on time.


Essential Duties and Responsibilities:

Receiving:

· Verify all incoming shipments against the packing list and purchase order for accuracy.

· Inspect shipments for any damage, defects, or nonconformance to specifications.

· Accurately receive in the QT9 ERP system and route materials to the designated storage area/location.

· Prepare and receive ISL Shipments in the QT9 ERP system.

Shipping:

· Prepare and maintain all shipping documentation, including bills of lading and compliance certificates, ensuring accuracy and regulatory compliance.

· Process orders and packing lists in QT9 ERP, verifying all details before shipment.

· Print and attach a Certificate of Conformance for each order to ensure compliance with customer requirements.

· Utilize FedEx, UPS, and DHL software to schedule shipments and generate precise labels for ground packages.

· Complete shipment invoicing through QT9 ERP in a timely and accurate manner.

· Coordinate with carriers and customers to arrange pickups.

· Prepare shipments by verifying the item, lot number, description, quantity, and expiration date—against the packing list.

· Ensure the destination address on shipping labels and BOL match the address listed on the packing list.

· Pick and pack orders.

Inventory Control:

· Maintain accurate inventory records for raw materials and finished goods.

· Conduct regular cycle counts and assist in root cause analysis to resolve discrepancies.

· Organize and optimize warehouse layout to improve material flow and reduce downtime.

· Execute inventory movements and updates within the QT9 ERP system.

Compliance & Safety

· Always adhere to IMI safety standards and established quality procedures.

· Conduct inspections to identify and report damaged goods or unsafe conditions promptly.

· Maintain a clean, organized, and efficient work environment in alignment with IMI Standard.

· Other duties as assigned.


Required Qualifications:

· High school diploma or equivalent; additional training in logistics or manufacturing preferred.

· 1–2 years of experience in shipping/receiving within a manufacturing environment.

· Familiarity with ERP systems and shipping software (e.g., UPS, FedEx & DHL portals).

· Ability to operate material handling equipment safely.

· Strong attention to detail and ability to work in a fast-paced environment.

· Solid understanding of manufacturing processes and material flow.

· Basic computer proficiency, including MS Office and ERP systems.

· Strong communication skills and ability to work collaboratively in a team environment.

· Effective problem-solving abilities and excellent time management skills..


Physical / Mental Demands:

· Job is performed indoors in a warehouse environment with high forklift traffic, including non-AC environment, controlled areas, quarantine areas.

· Physical activity includes sitting, walking, standing, bending, squatting, reaching above shoulders, and regular lifting of up to 30 pounds and occasional lifting of 40-50 pounds or moving up to 100 pounds.

· Repetitive bending, reaching, pulling, pushing, and lifting.

· Able to sit, stand, bend, reach and / or walk for long period of time.

· Repeated twisting at the torso while lifting and pulling inventory from shelves.

· Work may require weekend and evening work.

· Work under stress in a fast-paced environment.

· Must be alert, able to concentrate, and use good judgment.
