Overview

Hiring: Administrative Assistant

Location: Doral, FL 33172

Hours: Full-time, Monday through Friday,

Pay: $18-20. Per hour

Summary

We are seeking a Administrative Assistant to join our team. This role will provide exceptional customer service and administrative support within our office. The ideal candidate will possess a strong work ethic, professional demeanor, excellent communication skills, and provide a welcoming atmosphere for clients and visitors. As Administrative Assistant you will be energetic, well organized, efficient, and want to learn about the customs brokerage industry to grow your professional skills. This is an entry-level role with great opportunity.

What you will do:

  • Manage incoming calls, emails, and correspondence, directing inquiries to the appropriate personnel.
  • Perform clerical duties including filing, data entry, and maintaining organized records.
  • Provide customer support by addressing inquiries and resolving issues promptly.
  • Assist with office management tasks to ensure smooth daily operations.
  • Support team members with various administrative tasks as needed.
  • Maintain confidentiality of sensitive information in accordance with company policies.

What you will learn to do:

  • Review import documents for each shipment to make sure that all necessary documents are included. Documentation requirement can vary, depending on the commodity and country of origin.
  • Request any missing documentation from the importer of record or forwarder, steamship line or airline.
  • Prepare entry for clearance. Process entry for clearance and delivery.
  • Generate invoice for our services and scan any necessary documentation that billing party requires.
  • Follow up on entry until cargo is successfully delivered.

What you will need:

  • Proven experience in a professional reliable administrative role, 2 years.
  • Great work ethic, honest and reliable.
  • HS diploma, AS preferred.
  • Strong organizational skills with the ability to multitask effectively.
  • Excellent customer service skills with a focus on client satisfaction.
  • Clear communication skills, and the ability to pivot quickly.
  • High-energy and able to prioritize tasks.
  • Proficiency in MS software (Outlook, Excel).
  • Attention to detail with strong proofreading capabilities.
  • Prior logistics experience and Brokerage experience are a plus.
